About this position
The Office of Institutional Integrity (OII) is looking for a self-motivated Administrative Coordinator, who enjoys working as part of a team, is capable of handling complex tasks, and has creative approaches to everyday challenges. Reporting directly to the Chief of OII, the Administrative Coordinator will perform administrative duties, support office communications, and actively collaborate with both internal OII team members and external partners to achieve organizational goals.
OII plays a key role in leading the IDB Groupโs integrity efforts. The Office is responsible for investigating information in connection with prohibited practices (i.e. fraud, corruption, collusion, coercion, misappropriation, and obstruction of investigations) in IDB Group-financed activities, as well as conducting prevention activities designed to identify and manage the risk that prohibited practices or similar misconduct may occur in IDB Group-financed operations. Additionally, OII provides training and outreach to internal and external stakeholders on how to manage integrity risks.
What youโll do
- Efficiently manage tasks in a fast-paced environment, maintaining attention to detail, discretion, and a positive attitude.
- Organize and coordinate meetings and events, including preparing agendas, taking minutes, and following up on action items.
- Analyze, prepare, and manage cross-debarment notices and related documents, coordinating with the Secretary of the Sanctions Committee and integrity offices of other Multilateral Development Banks.
- Conduct research for investigative and preventive teams, providing background analysis and technical content, and proofreading internal documents for quality and compliance.
- Manage the Knowledge/Learning events database, including logging activities and handling registration processes.
- Draft, edit, and design OIIโs Annual Report as the Officeโs flagship publication.
- Produce and edit original content regarding OIIโs work in Spanish and English, including reports, bulletins, blog posts, and brochures.
- Design knowledge products that highlight integrity risk management in IDB Group-financed operations.
- Coordinate and maintain OIIโs internal and external web pages.
- Communicate with stakeholders about IDB Groupโs integrity efforts and OIIโs performance and prepare regular progress reports.
- Provide advice and guidance to colleagues on administrative, branding, and communications matters, while proactively sharing information to enhance efficiency and promote knowledge-sharing.
- Serve as a backup for other administrative tasks as needed.
What you'll need
- Education: Bachelorโs degree in communications, graphic design or a related area, or in a field related to international development (e.g., Public Administration, International Affairs, Economics, Law).
- Experience: A minimum of 2 years of professional experience in an international context is highly desirable, with a special focus on administration and communications. Experience in areas relating to integrity (e.g., compliance, investigations, public procurement) is a plus. The ideal candidate will have a clear, engaging style and be capable of translating complex issues into easily understandable and compelling language. Additionally, proficiency in graphic design is essential, with the ability to create visually appealing and effective designs that enhance communication materials.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration
Staff:
-International: International staff contract, 36 months initially, renewable upon mutual agreement.
