About this position

We are looking for an Administrative Coordinator to carry out managerial assistance and administrative support to the General Manager of the Department.
The Andean Countries Department (CAN) is responsible for promoting and developing the Bank's strategies and programming in Bolivia, Colombia, Ecuador, Peru, and Venezuela. The department supports the process, negotiation and administration of specific country and regional projects and programs; leads and maintains IDB relations with these member countries; supports the execution of country-specific operations; promotes and coordinates the use of funds administered by the Bank or under parallel financing agreements; and monitors the procurement activities related to operations carried out by the Bank's borrowers and beneficiaries.

What youโ€™ll do

โ€ข Provide comprehensive administrative and logistical support to the Department Manager, ensuring the smooth execution of high-level agendas, travel coordination, internal communications, and front-office operations. This role is key to managing conflicting priorities and adapting to evolving demands, always in compliance with the Inter-American Development Bankโ€™s (IDB) institutional policies and culture.
โ€ข Responsible for organizing and preparing all logistical and documentation requirements related to missions, conferences, and events. This includes processing travel authorizations and expense reports through the Concur system, coordinating visas, arranging local and international logistics, and handling post-travel follow-up. Also ensure the timely preparation and distribution of materials for meetings involving senior management, government authorities, and external partners.
โ€ข Serving as a liaison between the Department Manager and internal and external stakeholdersโ€”including public and private sector entities, international executing agencies, and government authoritiesโ€”the administrative coordinator manages communications with a high degree of professionalism and confidentiality. They draft, edit, translate, and proofread official correspondence and presentations in English and Spanish, ensuring accuracy and alignment with IDB standards.
โ€ข Coordinate and supervise the logistics for internal and external events, including seminars, meetings, and official receptions. This includes managing catering, venues, guest lists, and protocol-related communications, always ensuring compliance with the Bankโ€™s procurement procedures. Maintain updated contact directories and ensure proper filing and publication of official documents in the IDBโ€™s repository for broad institutional access.
โ€ข Oversee time and labor reporting for the Department Manager, monitor vacation usage for consultants. Follow up on pending matters, provide timely responses through the Bankโ€™s correspondence systems, and contribute proactively to the efficient functioning of the front office, drawing on their extensive institutional knowledge and solution-oriented mindset.
โ€ข Oversee the continuous monitoring of the control dashboard to coordinate activities across CAN areas (Operations, Economics, regional, Administrative and Effectiveness), ensuring timely execution, raising alerts for delays or deviations, and proposing regular follow-up meetings to track progress and improvements.
โ€ข Maintain work management platforms (Monday, project, etc.) efficiently and collaboratively, ensuring clear and accessible information is available to all teams involved.

What you'll need

Education: Bachelorโ€™s degree in business administration, accounting, finance, human resources, management or equivalent.
Experience: At least 2 years of relevant professional experience in administration, accounting, human resources, and payments.
Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration

International staff contract, 36 months initially, renewable upon mutual agreement.
