    Organizational Setting and Reporting Relationship

    The position of Senior Finance and Administration Assistant is assigned to the Mongolia Resident Mission (MNRM) within the East Asia Department (EARD). You will be based at our Resident Mission Office in Ulaanbaatar, Mongolia.

    You will report to designated technical international staff and/or senior technical local staff.

    Your Role

    As a Senior Finance and Administration Assistant, you will help with day-to-day operational and administrative requirements of MNRM in support of its efficient, effective, and smooth functioning.

    You will:

    Work on all or a combination of the following transactions and clearly defined areas, depending on the assignment from supervisors:

  • Ensure that logistical requirements such as office premises are well maintained and function properly; requirements of security and assets management met; and logistics of office transportation and other support services organized for the smooth daily operations and enhanced effectiveness of the workplace;
Attend all routine procedural and technical queries from internal and external source; coordinate with property managers, suppliers, and contractors on matters relating to facilities, outsourced services, and administrative developments; Ensure inventories of goods are constantly monitored and maintained at optimum levels, and the need for services is anticipated well in advance; Help with institutional procurement of works, goods, and services such as fit-out works, office lease, equipment and other major acquisitions, furnishings, general housekeeping, and all other services; Maintain the list of MNRM contracted suppliers, assist with execution and administration of contracts including service contracts and supply agreements (e.g., travel agents, hotels, transportation, translation or interpretation services, workshops logistics, outsourced services, etc.), and raise awareness of them within MNRM and relevant HQ units for administrative support to MNRM or project organized activities; Serve as alternate in processing financial transactions, payments and banking tasks, uploading financial documents, and maintaining e-filing, preparing travel and staff consultancy transactions in respective systems; When required, provide backup support for other assistants and analysts Perform any other tasks as reflected in the workplan and/or assigned by the Supervisor.

Qualifications

You will need:

Bachelorโ€™s degree in related disciplines At least 5 years of relevant expertise Proven ability to handle multiple tasks under tight schedules, strong commitment, and accountability Proficient in common word-processing, spreadsheets and other user software required for daily office work Ability to liaise and work effectively with internal and external counterparts Excellent written and verbal proficiency in English and local language (as applicable) Please refer to the link for ADB Competency Framework for Technical Local level 2.

Additional Information

This is a fixed term appointment with option to renew for an initial period of three years following Section 3.1 (b) of Administrative Order No. 2.01 (โ€œRecruitment and Appointmentโ€™). This appointment is not convertible to a regular appointment. It may be extended on an exceptional basis for a further fixed period at the option of ADB. This appointment is open to internal and external applicants.

This opening is a local staff position. It is open only to nationals and residents of Mongolia.
