Our Work In Sierra Leone:

Partners In Health (PIH) began supporting the government of Sierra Leone in response to the Ebola epidemic in October 2014. Recognizing the large need for continued investments in the health system after Ebola, PIH is committed to long-term health system strengthening in support of the Ministry of Health and Sanitation (MOHS), guided by the same principles as our emergency response and our work around the world: public sector accompaniment, integrated and comprehensive services, social justice, nimbleness and flexibility, partnership, community ownership, and evidence-based interventions. In the aftermath of the epidemic, PIH is committed to supporting the delivery of comprehensive health services in Sierra Leone, from the community level to the health centre and to referral hospitals.

Position Overview

The Warehouse Specialist supports daily operations by coordinating and ensuring accurate handling, storage, and documentation of clinical and non-clinical products. This position is reserved for pharmacy technicians to ensure sound medical knowledge in Pharmacy warehouse operations and streamline communication between the warehouse team and clinical staff. The Warehouse Specialist also contributes to process improvement, maintains safety and quality standards, and mentors junior warehouse team members to strengthen overall warehouse performance.

Essential Duties and Responsibilities:

  • Coordinate incoming warehouse requests from PIH-SL supported health facilities, ensuring timely and accurate processing. Organize and prioritize emergency and ad-hoc requests as needed.
  • Maintain open and effective communication on order status by issuing pre-alerts and provisional delivery notes, and providing regular updates to requestors.
  • Lead the receiving process for incoming shipments. Promptly report discrepancies to the Senior Supply Chain Manager and upload all relevant documentation to SharePoint.
  • Adhere to all Standard Operating Procedures (SOPs) and warehouse process maps.
  • Ensure appropriate separation of clinical and non-clinical items (e.g., cleaning agents, stationery, food supplies, etc.) to prevent cross-contamination and meet safety standards.
  • Maintain compliant storage conditions for controlled substances, temperature-sensitive products, sterile supplies, and hazardous or flammable materials.
  • Provide mentorship and training to junior staff and interns on warehouse workflows, OpenBoxes, storage best practices, and safety protocols.
  • Record and investigate inventory discrepancies. Implement corrective and preventive actions based on root cause analysis.
  • Manage removal from shelves and documentation of expired or damaged goods, and ensure reporting is completed in SharePoint.
  • Ensure accurate recording of all transactions on bin/stock cards and timely updates in Open Boxes to support evidence-based decisions.
  • Produce regular reports on warehouse operations to guide data-driven improvements.
  • Support rollout of new warehouse process maps, tools, or standards and track their impact on efficiency and performance.
  • Execute other tasks as assigned by the Senior Supply Chain Manager.

    Education and Work Experience Requirements and Required Skills :

    • Certified Pharmacy Technician with a Diploma or Higher National Certificate from a recognized institution.
    • Valid license from the Pharmacy Board of Sierra Leone.
    • Minimum of 2 yearsโ€™ experience in pharmaceutical warehousing, hospital stores, or health supply chain operations.
    • Demonstrated experience using electronic inventory systems.
      • Familiarity with health logistics SOPs
      • Strong understanding of pharmaceutical inventory practices, cold chain, and controlled drug handling.
      • Ability to interpret clinical needs and ensure effective communication with medical teams.
      • Excellent organizational skills and attention to detail.
      • Strong communication and interpersonal skills, especially in cross-functional collaboration.
      • Competency in Microsoft Office and logistics software tools.
      • Ethical and accountable in all warehouse operations.
      • Mentorship skills and the ability to support junior staff development.
      • Ability to work independently and under pressure in a dynamic environment.
      • Willingness to work flexible hours, including weekends when necessary.
