UN Women has been in Afghanistan for two decades.ย UN Womenโs programming approach is informed by analysis of the political, economic and humanitarian situation, risks to and capacities of partner organizations, and needs of Afghan women and girls. UN Women Afghanistan currently has four key programme priorities: (1) Gender in Humanitarian Action, (2) Ending Violence Against Women, (3) Womenโs Economic Empowerment, and (4) Women, Peace and Security.
Reporting to Special Representative (SR) and Deputy Country Representative (DCR), the Executive Associate is responsible for providing a variety of executive administrative support to the UN Women Special Representative and Deputy Country Representative maintaining full confidentiality in all aspects of assignment and, in close coordination with ACO office management and staff, for managing the efficient flow of information and communications to ensure expeditious dissemination of information, timely action and compliance with established deadlines.
Scope of Work:
Provide Executive and Administrative Support to the UN Women ACO Special Representative and Deputy Country Representative Manage the SR and DCRโs calendar, scheduling appointments, meetings, and official events; Coordinate complex travel arrangements including flights, visas, accommodation, and itineraries for SR and DCR; Organize and manage filing systems (both physical and electronic), ensuring confidentiality and retrieval efficiency; Maintain roster of ACOโs contacts; update electronic mailing lists; Handle incoming calls, correspondence, and communication with discretion, directing inquiries and follow-up as needed; Monitor and follow up on deadlines, commitments, and action items for the SR and DCR; Research files, collect information and organize materials to meet the SR and DCRโs requestย ย ย 2. Provide administrative support to the UN Women SR and DCR
Undertake the logistical, administrative and financial arrangements, to organize meetings, events, and workshops; Organize and attend meetings and events, prepare minutes and summaries; Prepare and assemble briefing materials and PowerPoint presentations for the SR and DCR for meetings, missions and other key events.ย ย ย 3. Provide effective communication and information management support to SR and DCR
Facilitate flow of information and communication between the UN Women ACO Executive office and other units within or outside of ACO; Review, prioritize and route correspondence to and from SR and DCRโs Office; take proactive follow-up action and keep the SR and DCR informed; Respond to and/or direct inquiries to appropriate units for timely action/response;ย Prepare routine correspondence and interoffice circulars; review documents and reports to ensure spelling, punctuation and format are correct;ย Maintain and organize up to date hard and electronic files for easy access and retrieval; ensure safekeeping of confidential materials; Assist in the preparation and finalization of informal translations; act as interpreter as required.ย ย 4. Provide support to the Country Representative/ Regional Directorโs Officeโs external relations activities:ย
Facilitate the SR and DCRโs interaction with various external partners through written, verbal and electronic communication, and through collaborative and proactive relationships with counterparts and colleagues in partner offices;ย Receive and greet high ranking officials/visitors; Ensure protocol matters, receive high ranking visitors/officials, coordinate logistical arrangements related to visits.ย ย 5. Contribute to knowledge building and knowledge sharing:ย
Provide administrative support for effective knowledge management and sharing within the office and other offices/HQs;ย Build and share knowledge and experience related to administrative and operations support.ย ย 6. The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
This position will provide support to the ACO Executive Office, which comprises the Special Representative and the Deputy Country Representative. The incumbent will work under the joint supervision of both the SR and the DCR.\"
