Description of Responsibilities /Scope of Work

UN Women Nepal organizes a wide range of events, campaigns, field visits, and advocacy initiatives to promote gender equality and womenโ€™s empowerment. High-quality photography and videography play a vital role in capturing the impact, achievements, and stories emerging from these activities, enabling effective communication with wider audiences and preserving documentation for future use.

In this context, UN Women Nepal Country Office seeks to establish a roster of up to five experienced professional photographers and videographers. The selected consultants will be engaged to produce high-quality photos and videos covering UN Womenโ€™s events, field missions, human-interest stories, interviews, and other programme-related content. The outputs will be used across various platforms, including social media, reports, knowledge products, and donor communications, and must align with UN Womenโ€™s branding and ethical guidelines.

The detailed scope of work and responsibilities for the assignment are as follows:

Description of Responsibilities /Scope of Work:

The selected consultant (Videographer & Photographer) shall be responsible for video recording services and photography services to the UN Women Nepal Country Office.ย The consultant will be reporting to the Communications Officer, and in close consultation with the relevant Programme team members

The Videographer & Photographer shall provide the following goods / services:

Description of Responsibilities /Scope of Work โ€“ Videographer:

Record and produce high-definition (HD, 4K) videos (A-roll and B-roll and reel format) in English and Nepali to document UN Women events, activities, and interviews with staff, partners, and beneficiaries. Capture a variety of visual perspectives, including close-up, medium-range, wide shots, and dynamic angles, to enhance visual storytelling. Provide rough cuts or selected best footage, accompanied by accurate caption information and contextual notes. Deliver separate audio tracks of recorded interviews or events as requested by UN Women. Edit raw footage and incorporate graphic animations based on input from the UN Women Communications Focal Person. Export final videos in formats optimized for HD/4K web distribution and deliver as per required specifications. Submit final approved videos in both raw and optimized formats, ensuring high resolution and compatibility with UN Womenโ€™s archival and publishing platforms.

Description of Responsibilities /Scope of Work โ€“ Photographer

Capture high-resolution photographs (minimum 4000 pixels on the long side) with embedded metadata. In consultation with UN Women officials, select a minimum of 20 best images per assignment that reflect the event, activity, or subject matter. Provide detailed captions for each image, including names and titles of individuals featured, exact location (city/town/village/district), date of capture, a brief description of the scene, and photo credit with the photographerโ€™s name. Submit all photographs in both raw and optimized formats as required by UN Women.

Credits and Copyrights for Videography and Photography:

UN Women retains non-exclusive, worldwide rights to use all photos and videos in perpetuity. All videos and photos will be credited as follows: UN Women/Name of the Videographer or Photographer. The consultantโ€™s credit must be embedded in the metadata using the format: Photo: UN Women/Name of the Videographer or Photographer. UN Women will ensure proper crediting of the consultant in all uses of the deliverables, following the format: UN Women/Consultant Name, as embedded in the metadata. This credit will also be required when content is shared with the media or partners. UN Women may use the photos and videos globally, across all platforms, without time restrictions. Prior written consent must be obtained from UN Women before the videographer or photographer uploads any content to public platforms such as YouTube or Flickr. UN Women reserves the right to share the photo and video content with other UN agencies or media outlets at no cost, in line with established practice.

Responsibilitiesย of UN Women and the Consultant

UN Women shall provide:

Programme information and editorial guidance to the Consultant to enable them to understand the deliverables required and generate captions. A focal person to accompany the Consultant to the selected project site when required. Photo consent forms The UN Women Photo Policy and Guidelines

The Consultant shall:

Manage all photographic, videographic, and computer equipment necessary for the Assignment. Abide by the UN Women Video Policy, Photo Policy and Guidelines.ย 

Note: Assignment can take place at various locations countrywide, which will be noted in request for services. In case assignment requires a field trip to be undertaken, the consultant (Videographer & Photographer) will be reimbursed standard UN DSA rates and air tickets will be managed by UN Women via the most economical route. In case local vehicles need to be hired for transportation purposes, the Videographer & Photographer shall submit the receipts of the vehicle hire for reimbursement.

Required Qualifications:

Education and Certification:

Completion of a technical course or diploma in Photography, Videography, Multimedia Production, Visual Communication, or a related field.

Experience:

A minimum of 3 years of professional experience in photography and videography, including shooting, editing, and producing content for development or advocacy-related work.

Languages:

Working knowledge of English and Nepali languages.ย 

Evaluation Criteria

The maximum score that the candidate can achieve for this consultancy is 100. Candidates who receive a score higher than 70 will be qualified for this position.

The maximum score that the candidate can achieve for this consultancy is 100. Out of 80 (technical evaluation score), candidates who receive a score higher than 60 will be selected for interview. Hence out of 100 (total score), the candidate should score more than 70 to be qualified for this position. ย
