We are seeking a Travel Administrator for a regular position to work within the Procurement & Travel Department at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)

Job Description

This position is responsible for coordinating business travel for staff and non-staff, ensuring seamless and efficient travel arrangements while adhering to IVIโ€™s travel policies and procedures.

Key Roles & Responsibilities

1. Travel Management and Logistics Support Services:
Arrange staff and non-staff travel Assess and monitor safety and security status of travel destinations, proactively inform travelers of any safety concerns, travel advisories, or precautionary measures. Provide timely and accurate visa information and support to travelers, including specific requirements based on nationality, destination, transit cities, and up-to-date laws and regulations. Prepare and provide estimated travel budgets, ensuring cost-effective planning and travel policies. Address any travel-related issues or concerns that arise during the trip, providing efficient solutions to ensure smooth travel experiences. Serve as a point of contact for travelers during trips, offering support as necessary. Monitor and report on vendor performance, addressing any discrepancies or issues promptly.

2. Post-Travel Activities and Documentation
Review and process travel expenses, ensure timely reimbursement in accordance with IVIโ€™s travel policies. Manage and maintain accurate records of travel schedule, bookings, expenses, and supporting documentation.

3. Continuous Improvement and Travel Policy Compliance:
Ensure that all travel arrangements comply with IVIโ€™s travel policies, procedures, and budget guidelines. Operate IVIโ€™s Travel Risk Procedures. Participate in training for staff/non-staff and process improvement initiatives to enhance travel efficiency. Respond to travel-related inquiries from internal stakeholders. Support preparing reports and documentation for audits and internal reviews.

4. Other duties as assigned.

Job Requirements and Qualifications

1. Education Requirements
Bachelorโ€™s degree or equivalent: Degree in tourism, hospitality management (preferred)

2. Related Field Work Experience
2+ years working experience in travel agency, hotel, airline.

3. Technical and Professional Skills / Knowledge
Good knowledge of travel booking programs and industry Good knowledge of international travel regulations and customs Good knowledge of travel security and safety

4. Key Competency
Communication, Client Orientation, Collaboration, Persuasion skills, Interpersonal skills

5. Language Proficiency
Fluency in English, Korean
