Under the supervision of the Country Manager and Administrative Client Support (ACS) Supervisor, the Team Assistant will provide a full range of administrative support functions, which also includes quality assurance, liaison with internal and external clients, and general research work. This role requires a motivated and mature individual who can successfully work with teams across departments and geographies.
Roles and responsibilities:
-ย  Drafting routine correspondence and proofreading materials.ย -ย  Making travel arrangements, including travel itineraries, hotel arrangements, ground transportation, visa arrangements, etc.-ย  Understanding of IFC guidelines, systems and procedures and able to work with teams remotely.ย -ย  Assisting in planning and monitoring of project-related activities, i.e. logistical arrangements for regular meetings and client visits, teleconferences and videoconferences, guest passes, etc.ย -ย  Organizing office and business-related events and training programs, including procurement, contract management, processing vendor invoices and purchase orders, F&B catering, invitations, RSVPs, registrations, travel related visa arrangements for overseas participants, and coordination with Facilities and IT team on logistical set-up.ย -ย  As part of a co-located (World Bank, IFC and MIGA) office in Singapore, works collaboratively with ACS staff across all WBG offices.ย -ย  Providing back-up support to other ACS peers in their absence or during periods of heavy workload.ย -ย  Undertaking any other tasks assigned by Country Manager to support the local office and business needs.ย 

Selection Criteria

-ย  Bachelorโ€™s degree or equivalent diploma or comparable experience with minimum 3 years of relevant experience.ย -ย  Strong written and oral communication skills, ability to draft a variety of correspondences and edit materials independently.ย -ย  Excellent time management, organizational skills and interpersonal skills to effectively deal with staff in a multicultural environment and across remote locations.ย -ย  Experienced working within tight deadlines and under pressure; the flexibility to work overtime during peak periods on short notice.-ย  Full proficiency in English, both written and spoken.ย -ย  Proficiency and prior experience in MS Office: Excel, Word, PowerPoint and Outlook.ย
