Title : Supplier Sustainability assessment lead

Contract : 18 months - full time

Reporting to : GPU Global Procurement Processes & Systems manager

Compensation and benefits: MSF practice is to offer the C&B package current in the MSF entity establishing the contract.

By default, the successful candidate will be offered a contract in the MSF office of their country of residence at the time of application.

I. MSF INTERNATIONAL

Mรฉdecins Sans Frontiรจres (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of race, religion, gender or political affiliation.

MSF International is the legal entity that binds together MSFโ€™s 27 Institutional Members of which 24 sections, and other offices such as Branch Offices and Satellites. MSF International provides coordination, information and support to the MSF movement, and implements international projects and initiatives as requested.

Within MSF International, the International Office (IO) is the Secretariat of MSF International Board and is under the direct management of the International Secretary General. MSF International also provides administrative support to the MSF Access to Product Healthcare (APH).

II. POSITION BACKGROUND

MSF is in daily contact with the world's most vulnerable populations as part of its mission and is witness to the impact of climate change on these populations. This is why MSF has set itself the strong ambition to reduce its CO2 emissions by 50% by 2030 and to develop a more sustainable management of its operations.

In addition, MSF wants that its relationships with its suppliers and subcontractors create social added value for the employees directly involved in the realization of services and products as well as for the surrounding communities whether that be through social, economic, or environmental means.

It is with this dual ambition that we are implementing a sustainable procurement approach. In this framework, measuring the social and environmental performance of our supply chain becomes a priority for our organization.

To that effect, sustainable procurement in MSF is driven by a collaboration between the Global Procurement Unit (GPU) and MSFโ€™s Climate, Environment and Health (CEH) coordinators in the various Operational Centers, with support from the Sustainable Procurement Coordinator in the International Office. A joint roadmap has been established to integrate the sustainability of MSFโ€™s procurement practices. The initiative of deepening relationships between MSFโ€™s suppliers globally and our procurement teams began in 2022. To achieve transparency and visibility of our complex supply chain, MSF works with supplier sustainability assessment tools which have been successfully rolled out since, with a good part of MSFโ€™s supplier base now assessed against their sustainability policies, commitments and actions.

III. PLACE IN THE ORGANISATION

The Supplier sustainability assessment lead will:

โ€ข Report to the GPU Global Procurement Processes & Systems manager

โ€ข Work closely with the Sustainable Procurement Specialist, Sustainable procurement coordinator, ESCs buyers, GPU category buyers, buyers and procurement focal points at HQ level as well as field procurement referents for MSF operations at country level

โ€ข Externally: build on the existing relationship with Ecovadis and with MSF suppliers

IV. OBJECTIVES OF THE POSITION

The Supplier sustainability assessment lead is responsible for supporting MSF Procurement teams with supplier engagement on sustainability related issues, ultimately increasing MSFโ€™s spend covered by supplier sustainability assessments. This includes coordinating the supplier assessments with procurement and procurement related functions at all levels of the organization (ESC, HQ, PS, Field), following up and building on recommendations made to drive continuous improvement of MSFโ€™s supplier baseโ€™s sustainability.

Specific Objectives

Building on existing relationships with relevant internal stakeholders, the Supplier sustainability assessment lead will:

Review the existing supplier assessment roadmap and see to its completion

Define the sustainable procurement roadmap for Field procurement

Based on the prioritization exercise led by the sustainable procurement specialist, support the progress of improvement plans, working with suppliers and buyers.

Feed into the sustainable procurement reporting framework in collaboration with the sustainable procurement specialist

V. MAIN RESPONSIBILITIES

Review the existing supplier assessment roadmap and see to its completion

a) Maintain the supplier base mapping exercise to scope out targeted suppliers (spend, risks, criticality), in alignment with MSF procurement organization

b) Align with procurement stakeholders on best timing and approach to engage with targeted suppliers.

c) Communicate MSFโ€™s approach towards sustainability to suppliers and encourage them to get assessed against sustainability criteria, following the methodologies defined by the organization.

d) Follow up progress of assessments and provide support whenever needed, including regular trainings.

2 . Focus on the definition of the sustainable procurement roadmap for Field:

a) together the Field procurement community, collect needs and expectations regarding sustainable procurement

b) With GPUโ€™s Field team and the sustainable procurement specialist, refine targets for Field suppliers,

c) accompany the Field procurement community in rolling it out

3. Based on the prioritization exercise led by the sustainable procurement specialist, support the progress of improvement plans, working with suppliers and buyers.

a) Build on assessment results and support suppliers in building their corrective action plan.

b) Monitor progress against corrective action plan issued

c) Capitalize on corrective action plans

4. Feed into the sustainable procurement reporting framework in collaboration with the sustainable procurement specialist

a) maintain data about supplier sustainability assessments with support from GPUโ€™s data analyst.

b) Ensure the Field procurement scope is represented in the overall sustainable procurement reporting framework

c) Share relevant data with the sustainable procurement specialist to report progress against overall assessment targets

d) Help to identify trends in supplier base: best practices, improvement plans, etc.

e) Escalate risks identified during implementation process as well as specific sustainability risks identified through assessments

f) Propose adaptation to the tools based on the lessons learnt during their implementation

VI. PROBLEM-SOLVING

โ€ข Within the frame of the strategic orientations validated by the Executive Supply Chain Committee (ESCC) and the roadmap for sustainable procurement, implement the supplier sustainability assessment strategy as defined by the procurement development team.

โ€ข Being able to work transversally with 6 OCs and 3 ESCs procurement teams.

โ€ข Must be a confident communicator, able to raise awareness and sponsorship of the supplier sustainability assessment strategy with procurement teams in MSF.

VI. DIMENSIONS

โ€ข Up to 100M Euros of global procurement monitored through sustainability assessments and tendering processes.

โ€ข Up to 5 projects to collaborate on.
