    Organizational Setting and Reporting Relationship

    The position of Strategy and Policy Assistant is assigned to the Operations Planning and Coordination Division (SPOP) within the Strategy, Policy, and Partnerships Department (SPD). You will be based at our Headquarters in Manila, Philippines.

    You will report to designated International Staff and Officer.

    Your Role

    As a Strategy and Policy Assistant, you will (i) perform a full range of secretarial tasks for international staff, including communications and coordination of supervisors' schedules, (ii) coordinate administrative activities and support the preparation and finalization of reports, strategy papers, and policy papers, (iii) compile data and prepare tables and charts for reports and other departmental documents, and (iv) support the arrangements for institutional meetings such as stakeholder meetings, informal board sessions and board meetings

    You will:

  • Support the preparation and finalization of reports, strategy papers, and policy papers. This includes gathering, presenting, and classifying operations data.
Collect, compile and analyze relevant information and data related to the division/office/department to produce routine and/or ad hoc statistics/reports as instructed. Help organize events and institutional meetings such as Heads of Department meetings, Board consultations and meetings, and bilateral meetings. Manage supervisors' calendars and ensure efficient scheduling across offices and global time zones. Scheduling includes prioritization and resolving conflicts of competing demands. Respond to internal meeting requests promptly. Ensure that all correspondence and documents for the supervisor are prepared in compliance with ADB's standards. Draft and send routine emails, memos, complex correspondence for signature of supervisor. Ensure that all incoming documents, reports, and memos are logged, distributed, and promptly brought to the attention of concerned staff, and that outgoing correspondence, reports, and documents are shared. Coordinate travel arrangements including mission schedules, visa applications, flights, hotel accommodations, preparing travel documents, and drafting itineraries following ADB procedures. Maintain an organized e-filing system in SharePoint. Monitor document workflow. Relieve other administrative staff and executive assistants. Perform other tasks as may be assigned and reflected in your workplan.

Qualifications

You will need:

Bachelor's degree At least 5 years of relevant professional experience in administration services. Proficient in Office applications and document tracking systems. Familiarity with videoconferencing tools (Zoom and MS Teams). Experience working with individuals from different cultural/national backgrounds. Experience making quick procedural decisions and judgments and handles sensitive information with confidentiality. Good coordination and experience working as a constructive team member. Additional Information

This is a fixed term appointment with option to renew for an initial period of three (3) years following Section 3.1 (b) of Administrative Order No. 2.01 (\"Recruitment and Appointment'). This appointment is not convertible to a regular appointment. At the end of the initial period, this appointment may be renewed for a period of up to three years, or not renewed. There is no limit on the number of renewals. This appointment is open to internal and external applicants.
