UNHCR is advancing a corporate HR Transformation with the objective of modernizing and streamlining HR service delivery through innovative technology and real-time data. Workday has been in place as UNHCRโs global HRIS since 2022. Ongoing organizational restructuring and increasing volumes of complex HR inquiries require additional specialized capacity within HRSPA to sustain effective global support and optimize end-to-end case resolution processes.
Scope of Work
The contractor will provide global system support using UNHCRโs established case management platforms, primarily Workday Case Management for escalated HR inquiries and ServiceNow for broader L2 support operations. S/he will focus on advanced troubleshooting of Workday business processes, analysis and configurations across multiple modules, supporting timely and effective case resolution. HRSPA functions as L3 support for Workday and L2 support for ServiceNow; the consultant will operate within this model. The assignment is limited to Workday configuration, troubleshooting, and case resolution and does not include system integration work.
The initial contract is for 6 months with possibility of extension.
Duties and Responsibilities
Provide hands-on Workday configuration analysis and troubleshooting across HR modules
Support resolution of complex global HR system cases escalated to HRSPA
Analyze and troubleshoot Business Processes, calculated fields, and security configurations
Support functional testing cycles, UAT, and release management activities
Translate business requirements into technical Workday solutions aligned with best practices
Identify opportunities for process optimization and automation
Use Workday Case Management and ServiceNow as tools to support effective case resolution
Ensure compliance with UNHCR data protection and privacy standards
Collaborate with multiple stakeholder groups across DPM, regional offices, and IT counterparts

Minimum Requirements
Essential Experience
Minimum 1 year of experience working with HRIS/ERP systems, including direct Workday configuration or technical support experience
Hands-on experience with Workday back-end configuration, including:
Business Process definitions
Calculated fields
Workday security framework (domain and business process security)
Experience supporting production Workday tenants in a global environment
Experience operating in L2/L3 client support models and resolving complex system issues
Familiarity with enterprise case management platforms (i.e. Workday Case Management and/or ServiceNow)
Exposure to change management initiatives in international or multinational organizations
English fluency
Desirable
Experience within the UN system or international humanitarian organizations
Workday certification in HCM and/or functional modules (Recruiting, Absence, Talent, Learning, Reporting, or Security)
Familiarity with AI-enabled HR tools and business intelligence solutions

Senior Business Analysis Associate
Organizational Setting and Work Relationships
The Senior Business Analysis Associate normally reports to a (Senior) Business Analyst. The principal role of the incumbent is to support ongoing and overall end-to-end integration of ERP modules within the Area of Responsibility (AoR). Integrations with other systems that connect to/from ERP will also be supported by the Senior Business Analyst with assistance from the incumbent. System change requests are often in relation to policy changes or the re-engineering of procedures, or key initiatives such as Strategic Workforce Planning.
Tasks will include translation of business requirements into specifications for IT developers who are managed by the Division of Information System and Telecommunication (DIST). The incumbent will work closely with the Senior Business Analyst and other colleagues towards enhancement and automation of their business processes using technology, including advanced Excel, BI tools, Sharepoint and Artificial Intelligence.
As needed, the incumbent will also assist the Senior Business Analyst in analysis and testing of ERP functionality changes which may result from technical/image upgrades. The incumbent will assist the Senior Business Analyst with day-to-day support to the users as needed per escalation of issues.

Duties
- Assist in solutions and design for business process challenges, using technology.
- Assist in re-engineering/enhancement of business processes or current ERP module/functionality, to ensure compliancy of relevant policies and administrative instructions.
- Interface with system design and development counterparts in DIST to finalize enhancement/change request specifications.
- Assist in providing quality assurance (pre UAT testing) of developed solutions.
- Assist in coordination of User Acceptance testing (UAT), and perform UAT as needed.
- Assist in the implementation of new functions, coaching/training resources as related to the deployment of new ERP functions.
- Assist in process improvement discussions, looking for streamlining opportunities with view to standardizing and simplifying processes and services.
- Prepare end-user training materials and assist in formulating training approaches which align with functionality being deployed.
- Provide post-change follow-up support to units and staff to ensure successful stabilisation.
- Use tools such as PowerBI, Excel, ERP Query Manager, Sharepoint, and Artificial Intelligence tools, to support and provide efficiencies to business processes as they relate to the application and data.
- Keep informed regarding developments in ERP and BI systems.
- Manage priorities.
- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

Relevant Job Experience
Essential
Completion of secondary education with post-secondary certificate/training in the field of business administration, international relations, information technology or related fields. Minimum 4 years relevant work experience with IT systems and in business analysis. Prior experience with ERP. Experience in finding technical solutions and efficiencies for business process challenges. Involvement in change management initiatives in an international or multinational environment, with specific change management experience in at least one ERP deployment project/key initiative, preferably within the UN system. Experience with procedures/processes in the AOR and exposure to provision of support services in an International Organization.
Desirable
Very good working knowledge of standard desktop tools such as MS Office suite, advanced Sharepoint, advanced Excel skills, and basic knowledge of Oracle SQL is an asset. Demonstrated ability to learn new software tools and methods of supporting business processes. Experience with PowerBI and Artificial Intelligence is an asset. Successful completion of one or more courses related to PeopleSoft HCM systems. Interest and passion for technology. Demonstrated ability to manage tasks to a target timeline.
