The Digital Transformation of Agri-Food Systems and the Climate Action Research teams are currently seeking a dynamic professional to support the project leader and team, this role requires a higher level of engagement for both technical and administrative support matters. The main objective of this position is to provide efficient administrative support for the research team, through monthly tracking and reporting of results, along with preparation of high-level meetings, review/monitoring of budgets as requested, contracting processes, procurement of equipment and services, and event logistics, aligned with internal policies.
The position will be based in the operations center of the Americas, located in the Campus of Palmira, Colombia. And it will offer hybrid working conditions.

- Lead the administrative and logistical procedures for the team that manages funds through the Agrifood Systems team and project leader.
- Develop administrative tasks to achieve the technical donor's requirements.
- Provide and organize follow-ups with the finance team and oversee the implementation of the adjustments in budget allocation as necessary to ensure they are done on time.
- Maintain permanent communication and be the focal point to provide support to project units for planning, execution, and monitoring of travel budgets, events, services, and contracts.
- Coordinate national and international events of the project, meetings, workshops, and seminars with the government, relevant partners, and stakeholders as per project leader instructions, this includes the planning, execution, monitoring, and final report of the budget of each event.
- Ensure prior consultation with the project leader for the funding execution.
- Advise as a focal point and support the accounting office for the timely recording of expenses related to trips, events, services, and consultancies.
- Be aware of the donor rules regarding the use of funds for services, trips, events, and consultancies are enforced.
- Participate and organize a detailed schedule of project team general meetings.
- Process and execute the project's procurement requests (office supplies, material for events, business cards, etc.)
- Ensure the seminars/workshops are done accordingly as per instructions and support the Team's agenda in the wider framework of Agri-food, Data science - Climate Action Team.
- Organize the project leader agenda, verifying the timely delivery of responses regarding budget execution, approvals and among others.
- Process the travel requests, ticket flight options, ticket requests, monitoring of the trip (departures/arrivals on time, advance travel processing, insurance, visa requirements, and attention for urgent cases), legalization, and reimbursement of expenses.
- Provide support in the administration of consultancy contracts (Adjusting / creation of Tor's, following up on contracts, monitoring, and reimbursement of expenses)
- Compile the information required for the staff hiring process and support by creating / modifying Terms of reference.
- Report to the project leader as requested.
- Support the general requirements of the area.
Requirements
Qualifications and requirements
- Bachelor's degree in Business Administration, Finance, Accounting, or related fields.
- Master's degree, Specialization or training courses in Business Administration, Finance, Accounting, or similar disciplines.
- Minimum of 3 to 5 years experience in procedures, administrative support, attending public, soft skills, experience in similar positions, coordinating and leading events
- Proven practical experience working in international organizations e.g. CGIAR.
- Advanced skills in Excel.
- Advanced English level (oral and written).
- Bachelor's degree in Business Administration, Finance, Accounting, or related fields.
