Terms of ReferenceOperational context:
The Psychosocial Risk Management (PSRM) project at UNHCR aims to develop and integrate a robust framework to address and mitigate psychosocial risks within the organization. This strategic initiative aligns with the UN System Mental Health Strategy and ILO/WHO Guidelines, focusing on the deployment of advanced, data-driven tools and fostering cross-functional stakeholder engagement. The methodology utilizes cutting-edge technologies, including artificial intelligence, to establish a dynamic and responsive system aligned with ongoing organizational risk management practices. This comprehensive framework is designed to enhance mental health and well-being among staff.
The position
This internship offers a unique opportunity to contribute to the development and implementation of the Psychosocial Risk Management (PSRM) framework at UNHCR. The intern will play a critical role in assisting to pilot the assessment tool, assisting in the creation and distribution of the tool, and preparation of related webinars. The intern will support the regional staff counsellor by preparing for and organizing consultations with key stakeholders, recording feedback, and assisting in the drafting of comprehensive reports that detail pilot outcomes.
Additionally, the intern will be involved in developing guidelines for PSRM by documenting current risk management processes, creating role descriptions, and helping to draft integration guides with existing organizational structures. The role extends to developing training materials and co-facilitating workshops aimed at enhancing organizational capacity in PSRM. Tasks will also include assisting in data protection and cybersecurity processes to safeguard project data.
This internship is ideal for individuals looking to gain hands-on experience in psychosocial risk management within a global humanitarian organization, offering significant exposure to cross-functional collaboration and project management in a complex, multi-stakeholder environment.
Duties and responsibilities
Pilot of Assessment Tool
• Assessment Distribution: Assist in the preparation of the assessment distribution tool (Microsoft forms).
• Document the Analysis Process: Keep detailed records of the data analysis process, timelines, and any initial findings communicated by the university team.
• Consultations: Assist the regional staff counsellor during the pilot to prepare and organize consultations with key stakeholders and staff within the operation, aiming to prepare, gather deeper insights and provide feedback.
• Prepare Consultation Materials: Assist in creating slides, documents and summaries that will facilitate productive discussions during the consultations.
• Record Feedback: Take detailed notes during meetings and consultations. Compile feedback and recommendations provided by stakeholders and experts.
Reporting and Documentation
• Compile Reports: Assist in the drafting of reports detailing the outcomes of the pilot, including stakeholder engagement levels, data analysis results, and recommendations.
• Maintain Records: Ensure all documentation from meetings, webinars, consultations, and reports is systematically organized and accessible for future reference.
Development of Guidelines
• Research and document the organizational Risk Management process: Conduct desktop research and interviews to map out stakeholders and processes involved in the organizational risk management process.
• Document Roles and Responsibilities: Create descriptions for the roles of identified stakeholders, particularly focusing on risk registry focal points, HR/admin focal points, health and safety focal points and Peer Advisors.
• Assist in Guideline Preparation: Help in drafting a comprehensive guide that integrates PSRM into existing organizational structures, ensuring alignment with health and safety, risk management frameworks, and other relevant initiatives.
• Create Supporting Documents: Develop supplementary materials such as flowcharts and timelines that aid in the understanding and implementation of the PSRM guidelines.
• Review and Feedback: Participate in review sessions and correspondence to gather feedback on the guidelines from various stakeholders and assist in making the necessary adjustments.
Training Material and Webinars
• Compile Training Materials: Gather existing training resources that can be repurposed and adapted for PSRM training needs.
• Develop Training Content: Contribute to the creation of new training modules, ensuring they are tailored to address the specifics of the humanitarian work context.
• Organize and Co-Facilitate Workshops: Help in planning and conducting workshops and training sessions aimed at building the organization's capacity in PSRM, focusing on risk identification, mitigation strategies, and effective utilization of PSRM tools like surveys and dashboards.
Data Protection and Cyber Security
• Assist in processes related to Data protection and cyber security.
Performing other duties as assigned.
Minimum qualifications required
• Recent graduate (those persons who completed their studies within one year of applying) or current student in a graduate/undergraduate school programme from a university or higher education facility accredited by UNESCO; and
• Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization.
Desirable qualifications and skills
• Degree or experience in fields such as Data Science, Organizational Psychology, Occupational Health and Safety, or related disciplines.
• Knowledge of Psychosocial Risk Management, Project Management or other related fields is preferred.
• Data- and Tech Savvy: An understanding of data science and cutting-edge technologies is important to contribute effectively to the development and implementation of the system.
• Ability to Collaborate: Working with this project will require collaboration with experts, professionals, and stakeholders. The intern should be a team player and open to learning from others.
• Ethical Considerations: Working with sensitive data demands a strong sense of ethics and responsibility to maintain privacy and confidentiality when necessary.
• Experience with data collection, statistical analysis, report writing and drafting reports and correspondence is preferred.
Language Requirements:
• Knowledge of English required. Knowledge of French and/or Spanish would be an asset.
Conditions
It is a full-time role with working hours starting from 9:00am to 5:00pm Monday to Friday. The role is home-based. The successful candidate will be assigned to support the senior Psychosocial Project Coordinator.
Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help cover the cost of food, local transportation and living expenses.
