ContextThe Project Assistant post located in Ankara and the incumbent will work at the Union of Municipalities (UMT) as UNFPA personnel during the project period with full-time engagement. The incumbent will be part of the development team and under the overall guidance of the Programme Analyst, Women Friendly Cities (WFC), s/he supports the WFC programme work and operations. The Project Assistant supports timely and proper implementation of the WFC programme by providing logistical, administrative, secretarial and financial support. There is possibility of extension of this UNV assignment directly depending on high quality deliveries, satisfactory performance, continuation of mandate, availability of funding, and operational necessity although there is no guarantee of assignment extension.

Task DescriptionUnder direct supervision of UNFPA Programme Analyst, the UN Volunteer will undertake the following tasks: โ— Supporting timely and proper implementation of the WFC programme; โ— Undertaking logistical, administrative, secretarial and financial arrangements for meetings, workshops, trainings and other program events organized by the team; โ— Assisting procurement services and contracting processes; including seeking tenders, collecting offers, maintaining procurement and distribution records and coordination of supplies with suppliers and implementing partners; โ— Making travel arrangements of the WFC team for missions; โ— Supporting logistics arrangements of programme staff; such as travel authorization, ticket and accommodation booking; โ— Following up and completing payments of individual consultants' and interns' payments, preparing all relevant supporting documents and note to files as appropriate; โ— Supporting review of technical and financial reports for accuracy and consistency and supporting the financial monitoring of funds utilization; โ— Raising requisitions in Quantum; โ— Conducting pre-payment review and compilation of PO and non-PO documents of human resources, travel and other procurement. Preparing requests and supporting documents for payments. Completing all payments in AODocs; โ— Preparing information and/or briefs, summaries and background documentation required by missions and special meetings; prepare Powerpoint and other presentations, including computer generated visuals such as graphs; โ— Assisting day-to-day communication with implementing partners; โ— Taking minutes as required; prepares reports and informal translations and may act as interpreter, as required; โ— Maintaining an office e-filing system and assist in archiving, and maintain up-to-date electronic mailing lists; โ— Performing any other duties, as may be required by the team. โ— Acting as liaison between the UMT and UNFPA Tรผrkiye WFC teams, specifically but not limited to operational matters. Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities: - Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day, 5th of December). - Be acquainted with and build on traditional and/or local forms of volunteerism in the host country. - Provide annual and end of assignment self-reports on UN Volunteer actions, results and opportunities (for instance at https://vra.unv.org), - Contribute articles/wrjte-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc. - Assist with the UNV Buddy Programme for newly arrived UN Volunteers. - Promote or advise local groups in the use of online volunteering or encourage relevant local individuals
