Work LocationRemote Expected duration6 months Duties and ResponsibilitiesThe United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Mitigation Branch (MB), located within the Climate Change Division, supports developing countries to improve energy efficiency and increase use of renewable energy as part of their efforts to achieve low-carbon and climate-resilient development pathways. It does so by providing guidance on sound policy, technology and investment choices, and by facilitating knowledge generation and sharing, capacity building, peer learning and through technical assistance to developing countries. The assistance of an Individual Contractor (IC) is requested to provide administrative support the Mitigation Branch Admin Team specifically in Human Resources. The IC will provide support in the engagement process of Consultants and Individual Contractors (CIC), advising Project Managers on proper onboarding procedures to comply with UN Rules and Regulations, and ensuring monthly payroll transaction. Under the general supervision of the Energy and Climate and Technology Administrative Officer, the IC will provide support to the Branchโ€™s Admin and Finance Team in the following tasks: - Action as UNOPS CIC focal point managing portfolio of 84 active CICs. - Assist in management of combined portfolio of 154 active CICs (UNEP and UNOPS) - PO creation for all UNOPS contracts. - Reconcile UNOPS CIC portfolio against monthly payment lists for payroll. - CIC payments non-receipts investigation and resolution - Action monthly expenditures on UNOPS contracts. - Management of Umoja profile for all CICs. - Registration of bank details for all CICs. - Provide one to one trainings to admin representatives in all units. - Tailored support to different programme officers. - Quarterly notifications of contract expiries to the branch. - Monthly payment requests notifications to the branch. - Monitoring of UNEP and UNOPS CIC trackers. - Conduct the project reconciliation and closure for UNOPS contracts. - Assist with annual Operational cost recovery exercise. Qualifications/special skillsโ€ข Education: Undergraduate university degree โ€ข Experience: A minimum of six years of work experience. Previous experience working in administration is an advantage. Qualifying years of experience are calculated following the receipt of the first level university degree recognized by the United Nations. โ€ข Communication: Excellent written and oral communication skills in English. โ€ข Teamwork: Works collaboratively with colleagues to achieve organizational goals; is willing to learn from others; Supports and acts following final group decision, even when such decisions may not entirely reflect own position. โ€ข Planning & Organizing: Ability to plan, prioritize and deliver tasks effectively and on time.
