ResponsibilitiesUnder the overall supervision of the Director of the Division and the direct supervision of the Legal Officer, the Programme Management Assistant will support the discharging of secretariat functions in respect of the Regional Agreement on Access to Information, Public Participation and Justice in Environmental Matters in Latin America and the Caribbean and be responsible for the following duties: โข Performs the full range of project management and administrative support functions to assist in the implementation of project SB-029027 by the Secretariat; โข Provides assistance in the organization and implementation of Secretariat activities covered in the project; โข Assists in managing consultants and individual contractors hired under the project, in particular liaising with human resources, financial services and administration, monitoring performance, reviewing products and processing payments, as required; โข Responds or drafts responses to a wide range of correspondence and other communications of the Secretariat; โข Performs administrative arrangements related to official travel of staff, meeting participants and experts; maintaining files of rules, regulations, administrative instructions and other related documents related to project activities; โข Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc; โข Monitors the status of expenditures and allotments through Umoja; โข Performs a variety of administrative duties (e.g. meeting organization, conference services, human resources, contracts, procurement, among others), including preparing and/or processing administrative requests through Umoja; โข Assists in the preparation of presentation materials using appropriate technology/software; โข Formats documents, using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. โข Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit; โข Performs data entry and extraction functions; โข Maintains files (both paper and electronic) and databases for work unit; โข Performs other related administrative duties, as required (e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating seminars, conferences and translations). โข Assists with other day-to-day administrative procedures and performs other duties as assigned. Job - Specific QualificationCompleted relevant studies in any field of legal or related area is desirable. Work ExperienceAt least three (3) years of experience in project management, general office support or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher. Experience in document management is required. Experience in working for an international organization is required. Experience using ERP systems such as SAP is desirable. One (1) year or more of experience in data analytics or related area is desirable. Experience using GDoc is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat and Spanish is a working language of ECLAC.
