BACKGROUND
As a highly vulnerable Small Island Developing State, Vanuatu faces significant climate change impacts that threaten its sustainability and development. To help Vanuatu enhance its resilience, Global Green Growth Institute (GGGI) supports the Government of Vanuatu in implementing projects on climate resilience and mitigation.
GGGI is seeking a Multi-Project Finance and Corporate Services (FCS) Associate to support the implementation of multiple projects in Vanuatu, including REnew Pacific, NDC Partnership (NDCP) and the Low Emissions Climate Resilient Development (LECRD) projects in Vanuatu.
POSITION SUMMARY
The Multi-Project FCS Associate ensures consistent quality across specific project/s and/or output delivery. The Associate is responsible for assisting multiple projects to integrate and deliver enabling services pertaining to administrative, travel, conference, procurement, and acquisitions management for the GGGI office based in Port Vila, Vanuatu. S/he will carry out operative processes such as financial monitoring and reporting to donors, processing and delivery of procurement contracts, tracking of purchase orders, supporting recruitment and human resources process, IT asset oversight, among others. The role involves maintaining effective project reporting and communication with both internal and external stakeholders.
The Associate implements the rules, guidelines, entitlements, and offers solutions to issues related to day-to-day office operations. Promotes a client-oriented approach consistent with GGGI rules and regulations. This position will report directly to the Project Officer of the REnew project and Project Manager of the NDCP and LECRD projects
PURPOSE
Ensure process integrity across finance, HR, procurement, and logistics in line with GGGI policies and donor standards, ensuring value for money and compliance. Support key service processes and daily administrative tasks to meet the operational needs of the multi-projects. Ensure administrative, finance, and operational processes are executed effectively and troubleshoot issues to maintain smooth operations. Promote a client-oriented approach consistent with GGGI rules and regulations. Ensures adherence to GGGI policies across procurement, legal, HR and finance whilst offering solutions to day-to-day office issues. Support donor reporting tasks and ensure timely and accurate documentation of operational activities. Assist in the implementation of the country requests.
ENGAGEMENT
Facilitate communication between team members, government counterparts, and external stakeholders to ensure effective project coordination. Collaborate with project teams, country office staff, and GGGIโs regional/global operations units to align administrative support with project goals. Coordinate with HR, Procurement, Finance and IT teams to support recruitment, onboarding, procurement, finance & budget, and asset management. Provides administrative and logistical support for program implementation, including procurement, ERP transactions, vendor management, travel and event coordination, and budget tracking. Communicate programme needs to service providers/suppliers and endure that services/products are delivered in line with established agreements. Provides comprehensive support for multi-project management by ensuring effective budget oversight, donor communication, operational compliance, record-keeping, and reporting aligned with GGGI and donor requirements. Supports any other FCS operations as required by the GGGI Vanuatu country team.
DELIVERY
Finance, HR and Procurement
Ensure timely execution of operational, administrative, and financial tasks to support project delivery. Monitor budgets and expenditures and prepare financial reports for both internal and donor use across REnew Pacific, NDCP, and LECRD projects. Process payments, cash advances, reconciliations, and procurement requests in compliance with procedures. Manage recruitment support, onboarding, and personnel record maintenance. Source and liaise with vendors, prepare quotations, and manage purchase orders and contracts. Support the development and administration of procurement plans aligned with annual work programs and budgets.Events and other logistical support
Coordinate travel, logistics, and arrangements for project related events, workshops, and trainings. Support logistics for virtual and in-person events, including venue booking, catering, and preparation of materials. Prepare and assess value-for-money quotations, and recommending suitable vendors. Assist with participant invitations, registrations, and guest travel arrangements as needed.Administrative activities
Maintain inventory of office supplies, IT assets, and support physical asset counts. Maintain well-organized digital and physical filling systems for all project-related documents. Provide general administrative support, including office operations and integration across projects. Support visa and immigration processes for international staff and visitors. Maintain a database of approved vendors and service providers and take on additional tasks as needed.
REQUIREMENTS
QUALIFICATIONS
A bachelorโs degree in business administration, accounting, public policy, finance, or other relevant field or equivalent experience is a must.
At least 3 years of relevant professional experience in administration and finance roles, preferably in an international or regional organizations at the local level. Additional certifications in procurement, financial management, or project administration are an asset. Good level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.). Fluency in English and excellent writing skills are essential. Experience in financial management and reporting of donor funded projects is essential Demonstrated ability in organising workshops and handling logistics, including participant travel, is required. Experience/knowledge of green growth and sustainable development is a plus. Must be a Vanuatu Citizen.
