JOB PURPOSE:
The purpose of this role is to oversee and optimize travel-related staff entitlements processed within the travel system (WeTravel), ensuring the timely, accurate, and compliant handling of travel authorizations, attendance data, and allowances across all levels of the organization. The incumbent will provide assistance in streamlining travel workflows, enhancing coordination between units, and ensuring that all processes are aligned with organizational goals. Additionally, this role will drive financial transparency through reporting, trend analysis, and strategic insights, contributing to better financial management and operational efficiency.Key Responsibilities:
- Lead the development and implementation of efficient travel processes across the organization, fostering consistency and compliance in travel-related actions.
- Ensure that travel-related staff entitlements processed within the travel system (WeTravel) such as Trips, Monthly Subsistence Living Sum (MSLS) and Rest and Recuperation, are systematically reviewed and approved, aligning with organizational policies to prevent unauthorized or retrospective approvals.
- Strengthening the documentation and approval workflows to improve the accuracy and timeliness of travel-related actions and minimize operational delays.
- Develop and implement streamlined processes for defining approval levels for travel-related staff entitlements, ensuring appropriate oversight and operational efficiency.
- Drive cross-departmental coordination to ensure the timely submission and validation of attendance data, enabling seamless integration with travel-related staff entitlements and related functions.
- Continuously evaluate and optimize travel-related policies and procedures to ensure alignment with organizational goals and compliance standards.
- Identify and mitigate potential barriers to the timely processing of travel-related staff entitlements requests, ensuring smooth operations even in high-demand periods.
- Ensure that the travel-related staff entitlements requests, such as Trips, Monthly Subsistence Living Sum (MSLS) and Rest and Recuperation (R&R), are processed in a timely and accurate manner, supporting staff well-being and operational efficiency.
- Analyze financial data related to travel-related staff entitlements requests and identifying trends, discrepancies, and opportunities for cost-saving and operational efficiency.
- Provide detailed financial reports on travel expenses, allowances, and related costs, ensuring transparency and alignment with budgetary targets.
- Develop and maintain dashboards to track travel and attendance metrics, providing insights into trends and performance against key financial and operational goals.
- Provide analytical support for decision-making by identifying trends patterns, and cost structures, recommending actionable insights for process optimization.
- Collaborate with Finance teams to ensure that financial systems are properly integrated with travel-related staff entitlements requests processes, enabling accurate tracking of expenses and cost recovery.
- Implement continuous improvement initiatives based on financial analysis, operational data, and staff feedback, to optimize resources and enhance service delivery.
Qualifications and Competencies:
Education:
Advanced University degree in Business/Public Administration, or other relevant field relating to office management and administration. First University degree in Business/Public Administration, or other relevant field relating to office management and administration with additional years of related work experience and/or training/courses.
Language:
Proficiency (level C) of English and intermediate knowledge (level B) of another official UN language (French, Arabic, Chinese, Russian, or Spanish) or Portuguese is an asset.
Experience:
At least 3 relevant experiences in business support, administration, or operational management within the UN system or international organizations.
Skills:
Strong organizational and analytical skills, with proficiency in budget monitoring and report preparation. Excellent communication and interpersonal skills, with the ability to work effectively in a multicultural environment.
