Position Summary The Major Gifts Operations Specialist provides critical operational support to CARE's Major Gifts team. This role is responsible for maintaining accurate Salesforce records, ensuring timely gift processing, coordinating deliverables for major donor campaigns and events, and supporting data-driven fundraising strategies. Reporting to the Director of Strategic Initiatives, this position collaborates closely with frontline fundraisers and cross-functional teams to ensure that Major Gifts outreach is seamless, strategic, and scalable. Key Responsibilities 1. Project Management for Campaigns and Events (40%) Manage timelines, task lists, and production schedules for Major Gifts-led campaigns and events. Coordinate annual appeal logistics, including segmentation, list pulls, mail merges, and follow-up. Serve as the Major Gifts lead for organization-wide events such as Impact Awards , CARE Conversations , CARE Journeys , and CARE on Capitol Hill . Provide on-site event support as needed. 2. Data Integrity in Salesforce (20%) Ensure completeness and accuracy of all donor records, including contacts, opportunities, and gift entries. Conduct regular audits; troubleshoot data issues and coach teammates on data entry best practices. Serve as the primary data quality lead and liaison for the Major Gifts team. 3. Reporting and Analytics (20%) Develop and maintain custom dashboards and reports for pipeline tracking, donor stewardship, and portfolio reviews. Fulfill ad hoc data requests for emergency appeals, donor visits, and executive briefings. Collaborate with IT and analytics staff to improve reporting tools and systems. 4. Gift Processing Support (15%) Monitor and track all incoming gifts, ensuring accurate attribution and timely updates in Salesforce. Coordinate with the Gift Processing team on coding, acknowledgment, and reconciliation of gifts from various channels (DAFs, checks, wire transfers, etc.). Manage receipting requests and documentation. 5. Cross-Team Collaboration & Special Projects (5%) Contribute to strategic initiatives, process improvements, and internal team projects that enhance efficiency and donor engagement. Qualifications Bachelorโs degree or equivalent experience; background in nonprofit fundraising or donor operations preferred. 2โ4 years of experience in a fundraising operations, data, or CRM support role. Proficiency in Salesforce CRM and advanced Excel required; PowerBI experience preferred. Experience with project management tools (e.g., Monday.com, Asana) and fluency in Microsoft Office Suite. Strong attention to detail, communication skills, and ability to manage multiple priorities in a fast-paced, mission-driven environment.
