The intern will work under the direct supervision of the Programme Policy Officer responsible for NGO Field Level Agreement (FLA) Partnerships Management, and under the overall supervision of the Head of Programme. At this level, the intern will actively support the implementation of Field Level Agreements, contributing to day-to-day tasks related to cooperating partnerships management. This includes assisting with documentation, coordination, and compliance activities aligned with ongoing Programme operations.
The intern will support activities that ensure WFPโs compliance with policies and guidelines related to the management of cooperating partners (CPs). These tasks include implementing due diligence processes, recognizing and monitoring budgets in WINGS, aligning with WFP business processes, and contributing to the capacity building and strengthening of both CPs and WFP staff. Additionally, the intern will assist with other responsibilities that promote effective NGO partnership management within the Malawi Country Office.
Key Accountabilities:
The intern will support the Partnerships Management team at the Malawi Country Office by contributing to the following activities:
- Budget Tracking Support: Assist in tracking budget utilization against planned targets and highlight discrepancies or concerns for review by the MWCO team.
- Invoice and Payment Process Assistance: Support the Malawi Country Office in reviewing, verifying, and processing NGO partner invoices and distribution reports in accordance with established standard operating procedures (SOPs).
- Partner Payment Status Reporting: Help compile and circulate monthly payment status updates to Malawi Country Office management and ensure timely feedback to partners as guided by SOPs.
- Administrative Support for FLAs/MOUs: Facilitate administrative tasks related to Field Level Agreements (FLAs) and/or Memorandums of Understanding (MOUs), including Service Outline Agreement (SOA) creation, WINGS administration, budget amendments, addenda, and any related assignments in coordination with WFP teams and partners.
- Tracking and Reporting: Maintain updated FLA Tracking Sheets (offline and online WFP FLA Dots Tracker), and contribute to monthly reports covering commitments (SOA, PODAs), expenditures (SES), and payments for the Malawi Country Office.
- Partner Contact: List Maintenance Keep an accurate and up-to-date list of focal points from all NGO partners engaged with the Malawi Country Office.
- Document Filing and Management: Support effective electronic and physical filing systems for documentation related to FLAs under the Malawi Country Office purview.
- Performance Monitoring: Support Assist in coordinating NGO partner performance monitoring, ensuring timely documentation and input submission from all relevant Malawi Country Office entities.
- Partner Performance Review: Coordination Support the planning and execution of partner performance reviews in accordance with Malawi Country Office protocols.
- General Support: Carry out any other duties that contribute to the effective functioning of Partnerships Management within the Malawi Country Office.
