Setting and ReportingThe United Nations Joint Staff Pension Fund (UNJSPF) was established in 1948 by the United Nations General Assembly to provide retirement, death, disability, and related benefits for staff of the United Nations and other member organizations of the Fund. The UNJSPF pays benefits in 18 currencies to more than 80,000 beneficiaries who reside in 190 countries, and services more than 140,000 participants who work in the 25 member organizations of the UNJSPF. The United Nations Joint Staff Pension Fund-Pension Administration (UNJSPF-PA) comprises about 250 staff from diverse countries and cultures, based across four prominent duty stations (New York, Geneva, Bangkok, and Nairobi). The United Nations Secretary-General is responsible for the investment of the assets of the United Nations Joint Staff Pension Fund (UNJSPF). The Secretary-General has delegated this responsibility to the Representative of the Secretary-General for the investment of the assets of the UNJSPF (RSG). The RSG heads the Office of Investment Management (OIM), which manages a $100+ billion multi-asset class, global investment portfolio, about 85% of which is actively managed in-house. Asset classes under management comprise global equities, fixed income, foreign exchange, private equity, real estate, infrastructure, timber, and commodities. This position is located in the Human Resources Team of the Business Support Section (BSS), which provides administrative support services to Pension Administration (PA) and the Office of Investment Management (OIM) of the United Nations Joint Staff Pension Fund. The incumbent reports to the Human Resource Team Lead in the Office of Investment Management. ResponsibilitiesWithin delegated authority, the Human Resources Assistant will be responsible for the following duties: Recruitment and placement โ€ข Participates in the selection of candidates for secretarial, clerical and related categories positions; including evaluating and screening applications of such candidates, preparing profiles of candidates, and conducting preliminary interviews, and conducting roster searches for vacancies and identifying short-lists of candidates. โ€ข Assists in the filling of posts for all categories, including initiating and following-up on reference checks and academic verifications, ensuring the completion of the pre-recruitment formalities, calculating salaries and related benefits, and preparing and dispatching offers of appointment and Statement of Emoluments. โ€ข Assists in organizing and coordinating competitive recruitment examinations. โ€ข Oversees the maintenance of vacancy announcement files and tracking status of vacancy announcements. โ€ข Reviews and processes personnel actions through Umoja. โ€ข Advises staff on visa matters. Administration of entitlements โ€ข Reviews and processes requests for entitlements and claims. Classification โ€ข Assists in reviewing and processing requests for classification. โ€ข Provides advice and answers general queries on classification procedures and processes. General โ€ข Conducts exit interviews for separating staff and assists him/her in final arrangements. โ€ข Maintains HR related automated systems and applications including automated databases containing HR related statistics and prepares periodic reports. โ€ข Undertakes research on a range of HR related issues and assists in the preparation of notes/reports. โ€ข Provides general office support services; processes, drafts, edits, proofreads and finalizes for signature/approval a variety of correspondence and other communications; performs budget preparation, input monitoring and implementation in Umoja, etc.; sets up and maintains files/records (electronic and paper); schedules appointments/meetings, monitors deadlines, etc. โ€ข Prepares written response to queries concerning HR related matters. โ€ข Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โ€ข Assists with visualizations and updating information material such as web pages or brochures. โ€ข Performs other duties as required, including assisting with other teams.
