Under the overall supervision of the Chief of Section, the Human Resources Assistant reports to the Chief of the Recruitment Unit. ResponsibilitiesWithin delegated authority, the Human Resources Assistant will be responsible for the following duties: Recruitment and placement: โ€ข Processes applications for vacancies, including preparing and maintaining case files for candidates, ensuring and monitoring the transfer of files of candidates between offices, arranging for interviews, and entering data on candidates into the automated roster. โ€ข Assists in the filling of posts, including initiating and following-up on reference checks and academic verifications, ensuring the completion of the pre-recruitment formalities, calculating salaries and related benefits, and preparing and dispatching offers of appointment and Statement of Emoluments. โ€ข Assists in the evaluation and screening of applications of candidates for secretarial, clerical and related categories positions. โ€ข Maintains vacancy announcement files and tracks status of vacancy announcements. โ€ข Coordinates with Executive Offices and selected candidates on travel arrangements, visa matters and shipment of personal effects. โ€ข Prepares agenda and provides relevant documentation required for recruitment related meetings. โ€ข Prepares personnel actions. โ€ข Advises staff on visa matters. Consultant and Individual Contractor Administration โ€ข Reviews and processes requests for shopping carts. โ€ข Maintains Business Partners and Mini master records. โ€ข Assists in the review and processing of fee determination and conditions of service. โ€ข Assists in the organization and conduct of training courses and workshops. โ€ข Process and amends purchase orders. Classification โ€ข Assists in reviewing and processing requests for classification. โ€ข Provides advice and answers general queries on classification procedures and processes. Job - Specific QualificationTechnical or vocational courses in human resources, business administration, personnel administration or contracts administration are desirable. Work ExperienceA minimum 5 years of experience in human resources management, administrative services or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Experience working with Enterprise Resources Planning systems such as SAP is desirable. Experience working with talent acquisition platforms, such as oracle/PeopleSoft is desirable. Experience in working with MS SharePoint, Planner, Excel, or similar software is desirable. 1 year or more of experience in data analytics or related area is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this job opening, English and Spanish are required.
