The Human Resources Assistant reports to the Human Resources Officer. ResponsibilitiesWithin limits of delegated authority, the Human Resources Assistant will be responsible for the following duties: RECRUITMENT AND PLACEMENT: โข Assists in the filling of posts, including initiating and posting job openings and temporary job openings in Inspira and following-up on reference checks and academic verifications for all positions in NY at the Professional and above level, ensuring the completion of the pre-recruitment formalities. โข Monitor the status of all JOs/TJOs on a dynamic basis in order to meet the target dates. โข Coordinates with Human Resources Operations and selected candidates on travel arrangements and visa matters. โข Prepares agenda and provides relevant documentation required for recruitment related meetings. โข Prepares personnel actions related to the administration of the human resources activities such as recruitment, placement, relocation, promotions and separations, special leave, home leave, maternity/paternity leave. โข Advises staff on visa matters. โข Provides advice and guidance to staff under portfolio with respect to human resources procedures, processes and practices, liaising with counterparts in other offices, as necessary. ADMINISTRATION OF ENTITLEMENTS: โข Assists in the review and processing of data pertaining to conditions of service. CLASSIFICATION: โข Assists in reviewing and processing requests for classification. โข Provides advice and answers general queries on classification procedures and processes. GENERAL: โข Provides general office support services; drafts and/or processes a variety of correspondence and other communications. โข Sets up and maintains reference files/records (electronic and paper). โข Schedules appointments/meetings, monitors deadlines, etc. โข Undertakes research on a range of HR related issues and assists in the preparation of notes/reports. โข Maintains automated database containing HR related statistics and prepares periodic reports. โข Assists in the preparation of necessary documentation for distribution to various offices, departments and overseas offices. โข Performs a variety of administrative duties (e.g. leave recording, request for office supplies and equipment, etc.). โข May provide guidance/training to less experienced staff. โข Performs other duties as required. Work ExperienceA minimum of five years of progressively responsible experience in human resources management, administrative services or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher. Experience with HR modules of SAP based Enterprise Resource Planning (ERP) systems such as Umoja or similar is desirable. Experience using recruitment platforms such as inspira or similar is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat.
