Position Overview
Pact, a non-profit organization based in Washington, DC, is implementing the Zambia Integrated Health Activity. The Activity supports PEPFAR objectives of 95/95/95 and provides service delivery and technical assistance to improve Maternal, Newborn, and Child Health (MNCH) services. Zambia Integrated Health improves, sustains, and further integrates lifesaving HIV/AIDS and MNCH services at the health facility and community levels and ensure that client-centered, high-impact, high- quality services are available to all Zambians.
Position Summary:
The Human Resources Assistant reports to the Recruitment Coordinator and plays a crucial role in providing administrative support to the Human Resources Office. She/he will actively participate in various HR functions, such as recruitment, onboarding, record-keeping, and employee relations, ensuring the smooth and efficient operation of HR processes within the province. Working closely with the HR Teams and other ZIH project staff in the province, the HR Assistant will contribute to the effectiveness and efficiency of HR operations under the guidance of the Recruitment Coordinator.
Key Responsibilities
Support in maintaining 100% accurate and up-to-date employee records, ensuring compliance with relevant regulations and confidentiality requirements for the Country Office.Conduct and support regular in-house audits ensuring that all audit requirements are adhered to, this will include review of all personal files, implementation of set HR policies and laws, including donor requirements.Coordinate and schedule interviews for potential candidates, effectively communicating with both the candidates and interviewers to ensure a seamless interview process as guided by the HR Officer. This may include assisting in the recruitment process, including job postings, application screening, interview scheduling, and reference checks. Support onboarding of new employees by preparing orientation materials, conducting orientation sessions, and ensuring completion of required documentation as directed by the Recruitment Coordinator.Collaborate with the HR Officers and other ZIHA project staff based in the province to promote effective HR operations within the province, fostering a positive working environment and efficient communication among team members.Assist the HR Office in planning and coordinating employee events, including team-building activities, training sessions, and celebrations, to enhance employee engagement and foster a strong organizational culture in the province.Provide comprehensive HR administrative support, including support managing any province correspondence, preparing HR reports, maintaining HR filing documentation, and HR data entry to contribute to the smooth and efficient functioning of the HR office in Lusaka.Ensure the Pact HRIS is up to date at all timesBasic Requirements
Bachelor's degree in Human Resources, Business Administration, or a related field.At least 2 years of relevant work experience in human resources or administration, preferably in an NGO or international development settingPreferred Qualifications
Registered member of the Zambia Institute of Human Resources Management or professional membership in a relevant HR association.• Experience working on a USAID-funded project or other international donor-funded projects.
• Knowledge of HRIS systems and their implementation in an organizational setting.
