I. ABOUT MSF INTERNATIONAL
Mรฉdecins Sans Frontiรจres (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based solely on need and irrespective of race, religion, gender or political affiliation.
MSF International is the legal entity that binds MSFโs 24 sections, 27 associations and other offices together. Registered in Switzerland, MSF International provides coordination, information and support to the MSF Movement, and implements international projects and initiatives as requested.
II. POSITION BACKGROUND
The International Contracting Office (ICO) operates within MSF International as the centralized contracting entity for Internationally Mobile Staff (IMS) who lack an MSF contracting entity in their home country. Established in October 2023, the ICO currently supports five Operational Centers (OCs) in hiring IMS. By the end of 2025, it is expected to manage a payroll of approximately 3,000 employees. The ICO utilizes Workday as its Human Resources Information System (HRIS), sharing the same tenant as OCP, and with OCG joining this tenant in February 2026.
III. PLACE IN THE ORGANISATION
The HRIS Officer will play a key role in supporting the day-to-day management and continuous development of the Workday HRIS within the ICO. This position is designed to complement and reinforce the work of the existing ICO HRIS Specialist by focusing on operational, functional, and end-user support aspects of Workday.
The HRIS Officer will work closely and collaboratively with the ICO HRIS Specialistโfunctioning as a true team memberโand with the Compensation & Benefits Specialist, HR admin team, HRIS counterparts in OCP and OCG, and external consultants (TMA).

IV. MAIN RESPONSIBILITIES
HRIS Operational Support and Maintenance
Serve as first-line support for HRIS-related inquiries from ICO HR admin users.
Coordinate with the HRIS Specialist on issue escalation and configuration needs.
Conduct regular data audits to ensure data integrity and compliance.
Maintain and update documentation, user guides, and workflows for end users.
Process Optimization & Workflow Management
Proactively identify system-related improvements to streamline HR operations.
Work with HR colleagues to improve user experience and ensure consistency in process implementation.
Participate in process testing and User Acceptance Testing (UAT) in coordination with the HRIS Specialist.
Training & Capacity Building
Design and deliver training sessions for ICO HR staff and other users.
Create accessible, user-friendly materials such as manuals and process guides.
Gather user feedback and contribute to continuous system and support improvement.
Collaboration and Stakeholder Engagement
Act as the operational bridge between the ICO and shared tenant partners (OCP, OCG).
Support cross-OC alignment operational efforts under the guidance of the HRIS Specialist.
Reporting and Analytics
Work with the HRIS Specialist and the HR Team Leader to build and improve dashboards and reporting templates that support operational and strategic HR decision-making.
V. PROFILE REQUIREMENTS
Minimum 2โ3 years of experience in HRIS or systems support roles.
Experience with Workday is highly desirable.
Experience in the humanitarian or NGO sector is highly desirable.
Solid understanding of HR operational processes and data management practices.
Strong attention to detail and commitment to data accuracy and process reliability.
Ability to work within deadlines and manage multiple priorities simultaneously.
Excellent interpersonal and communication skills, with a collaborative mindset and the ability to support non-technical end-users with patience and clarity.
Demonstrated ability to work effectively as part of a team, with a positive, proactive, and solution-oriented approach.
Fluency in English is essential; French is an asset.
