ContextThe Guesthouse Manager works under the direct supervision of the Senior Operations Officer. S/he receives technical guidance equally from the coordinator. The incumbent is expected to work independently but can escalate complex issues and cases to the supervisor. The functions ensure that Guesthouse Manager is carried out in a timely, periodic, and orderly fashion. Through the activities in reaction to Guesthouses can be better monitored, coordinated, or replicated in the future if required. Furthermore, the functions contribute to the efficient implementation of responsibilities mentioned above in the designated area. UN Volunteers should be provided equal duty of care as extended to all host entity personnel. Host entity support to the UN Volunteer includes, but is not limited to: โข Introductory briefings about the organisation and office-related context including security, emergency procedures, good cultural practice and orientation to the local environment; โข Support with arrival administration including setting-up of bank accounts, residence permit applications and completion of other official processes as required by the host government or host entity; โข Structured guidance, mentoring and coaching by a supervisor including a clear workplan and performance appraisal; โข Access to office space, equipment, IT support and any other systems and tools required to complete the objectives of the assignment including a host entity email address; โข Access to shared host entity corporate knowledge, training and learning; โข Inclusion of the volunteer in emergency procedures such as evacuations; โข Leave management; โข DSA for official travel, when applicable; โข All changes in the Description of Assignment occurring between recruitment and arrival or during the assignment need to be formalized with the United Nations Volunteer Programme.
Task Description- Oversee all service requests for the unit, distributing the work between supervisees in coordination with the supervisor. - Monitor regularly that all contracted service providers comply with the established terms of reference and recommend corrective actions to ensure full client satisfaction. - Support the supervisor in managing the purchasing of a large range of items and services required for the maintenance of the buildings. - Prepare and support the organisation of all events and receptions at the headquarters premises, liaising with the requesting units to ensure all needs are looked after. - Oversee management, maintenance, and control of official vehicles. - Supervise and direct the team of UNHCR and outsourced staff in building management, mail and stationery and warehouse management; organize on a regular basis their work plans and request additional temporary resources when needed. - Handle transportation to and from several different locations to support any need of the organization. - When required support to daily operation of the warehouse (receive equipment, material, catalogues in the warehouse and verify against the purchase order, for damage/loss and proper record in UNHCR ERP system MSRP; confirm arrival of equipment to all parties concerned; ensure proper storage of materials; prepare standard packing for shipments; inform field offices of shipment details and provide scanned copies of shipping documents; prepare insurance documents in case of loss or short landing; prepare forms for obsolete/broken equipment of which the section is the custodian; issue packing lists, prepare shipments, make bookings, and inform weight and volume and specific routing information; check invoices and waybills and settle invoices; undertake physical inventory of the warehouse for all PPEs and STIs). - When required, prepare requisitions, ensure that purchase orders are issued and create receipts when goods and services are delivered. - When required, support the work of the Mail and Stationary Unit. - Determine planning and delivery schedules to meet demand in the timeliest manner. - Oversee the performance of service providers. - Verify invoices for accuracy. - Issue requisitions and perform receipt in UNHCR ERP system MSRP. - Perform other related duties as required.

Living conditions and remarksThe Duty Station is Port Sudan. The climate is mainly tropical. During the summer (March โ June) the temperature is quite high with an average of 38C, with May being the hottest month of the year. Autumn starts from mid-July and ends in September; it is characterized by an abundance of sandstorms. Winter starts from October and up to February, it is endowed with a beautiful to moderate, dry and healthy. Finding a place to stay is probably the number one priority for settling into your short assignment in Sudan. You have the option of staying in one of the hotels that are cleared by UNDSS. Furnished or semi-Furnished housing/apartments are also available, but most landlords may not be keen to rent apartments for period of less than six months. Most types of meals and internationally knows dishes are available in Sudan. All sorts of fresh meats (chicken, beef, lamb and fish) are available in supermarkets. Fresh vegetables and fruits are also available from local sources. There are a variety of canned and packaged goods. Sudan is a unique country and provides for an interesting and enriching environment, but also requires a mature level of cultural awareness, as well as more stamina and commitment than elsewhere to make life comfortable and affordable. Therefore, flexibility and the ability and willingness to live is required.
