About this position
We are seeking a highly skilled and motivated professional to join the Office of the Secretary in a pivotal role. This individual will support the Secretary and Deputy Secretary in a a strategic, hardworking, collaborative, proactive and highly motivated individual to join our Front Office team.
You will work in the Front Office as part of the Office of the Secretary. This team is responsible for providing secretariat services to the Boards of Governors and the Boards of Executive Directors of IDB and IDB Invest, as well as to the Donors Committee of IDB Lab. The Office of the Secretary also coordinates meetings of the IDB Groupโs Management committees as determined by the President. Moreover, the Office coordinates the implementation of the Access to Information Policy and provides language and documentation services to the Boards and Management.
What youโll do
- Coordinate the agenda of the Deputy Secretary, her travel plans, expense reports, and other matters associated with the Bankโs Annual Meetings, Committee of the Board of Governors, Board Technical Briefings, Management Committees and other matters as determined by the Deputy Secretary.
- Support the Front Office team in administrative tasks and projects as needed, specifically:
- Support the process of complementary workforce hiring to ensure alignment with SECโs business objectives.
- Actively support the promotion of a positive and engaging work environment through the implementation of relevant Engagement activities.
- Support the internal onboarding and offboarding program for new SEC employees.
- Support STB in scheduling the onboarding of new Board members.
- Support administrative processes and use good judgment in its administrative management functions.
- Perform accounts payable functions, request supporting documentation, and allocate payments in the corresponding systems.
- Work with the corresponding corporate units (FIN, PRC, ACP) for inquiries, incidents, requests as needed.
- Effectively conduct administrative processes, related to office facilities, travel management, information technology systems accesses
What you'll need
- Education: Technical studies or Associate Degree in Finance, Business Administration
- Experience: At least 2 years of professional experience related to the key responsibilities of the position, with a minimum of 1 year of experience (international highly desired) in budget, auditing, and administration areas, to include budget preparation, and financial analysis.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.
