ย Context Working under the overall supervision of Chief of Mission and the direct supervision of the Programme Manager (Peacebuilding and Reconciliation) / Head of Sub Office in Katsina, the Field Office Associate will provide administrative and financial support to facilitate the smooth implementation of project activities. This role supports communication among team members, stakeholders, and the community while contributing to the achievement of project objectives.
- Assist in daily administrative tasks, including drafting and managing correspondence, scheduling meetings, and maintaining project documentation.ย
- Organize and maintain electronic and physical files for project documentation, allowing easy access for team members.
- Support the arrangement and coordination of meetings with project stakeholders, including preparing agendas, taking minutes, and following up on action points.
- Assist in the logistical planning and implementation of project events, workshops, and training sessions, including venue arrangements, materials preparation, and participant coordination.
- Input and maintain project data in databases and spreadsheets, with accuracy and timeliness.ย
- Under the guidance of the supervisor, serve as a point of contact for team members and assist in liaising with Government stakeholders, local authorities, and community leaders, contributing to communication and cooperation for inclusive project participation.
- Support the tracking of project expenses and assist in the preparation of financial reports in line with budgetary guidance.ย
- Provide logistical and administrative support to project team members to facilitate project delivery.ย
- Support the implementation of project activities and related documentation in line with organizational procedures and standards.
- Assist in compiling inputs for new concept notes or/and proposals in coordination with the Programme Manager and Programme Support Unit.ย
- Handle administrative processes, such as raising online purchase requisitions and submitting online invoices payable related to field requests.ย

- High school diploma with five years of relevant experience; or,ย
- Bachelorโs degree in Business Administration, Project Management, Development, Social or Political Sciences, Peacebuilding, Management, or related fields from an accredited institution with three years of relevant professional experience
ย Accredited Universities are those listed in the UNESCO World Higher Education Database. ย Experience- Experience providing administrative and logistical support in coordination with other stakeholders and liaison with government Authorities and community leaders.ย
- Experience supporting project implementation, including assistance with monitoring, ย reporting, or data collection in field settings.ย
- Familiarity with peacebuilding and reconciliation activities is an advantage. ย
- Experience working in field offices or in areas affected by conflict or instability is desirable. ย
- Exposure to participatory approaches and basic knowledge of do-no harm principles is an asset
ย Skills- Ability to work independently and as part of a team in support of project and administrative activities.ย
- Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint; experience with Publisher or SharePoint is an advantage. ย
- Previous work experience with international organizations and companies would be an advantage. ย
- Accuracy and attention to detail in documentation and data entry.ย
- Good organizational and time management skills; ability to prioritize tasks under pressure. ย
- Familiarity with peacebuilding and reconciliation programming is desirable. ย
- Knowledge of the UN system and IOM procedures is an advantage
ย Languages- Fluency in English (oral and written), Native language of Northwest Nigeria (Hausa and Fulfulde are required IOMโs official languages are English, French and Spanish.
