Org. Setting and ReportingThe Executive Associate to the UN Resident Coordinator reports directly to the Head of the UN Resident Coordinator's Office/Strategic Planner and works under the overall guidance of UN Resident Coordinator (RC). The overall purpose of the post is to provide administrative support to the UN Resident Coordinator and Resident Coordinator's Office. This position is located in the Resident Coordinatorโ€™s Office (RCO) in Kyiv, Ukraine and reports to the Development Coordination Officer, Head of RCO and Strategic Planner. ResponsibilitiesWithin delegated authority, the Executive associate will be responsible for the following duties 1. Ensures effective and efficient functioning of the RCO focusing on achievement of the following results: โ€ข Maintenance of the RC's calendar, contacts with high-ranking visitors, arrangement of appointments and meetings, and missions/representations schedule, including all protocol procedures and logistics requirements; โ€ข Management of RC missions and schedule in country and abroad; โ€ข Management of the immediate front-office operations with respect to communications, meetings, and workflow, including liaising externally with relevant units/personnel in the government; development partners; and other relevant counterparts; and internally with the UN Country Team (UNCT) and other UN entities; โ€ข Organization of internal, external, and high-level meetings with representative/officials, including invitations, the production and distribution of documentation, as well as logistics needs for meetings (conference room, IT, etc.); โ€ข Reception and accommodationof high ranking officials; โ€ข Maintenance of rosters of high-level partners, Government counterparts, UN Member States, donors, UN agencies, local institutions, and others, including the electronic mailing lists; โ€ข Preparation of correspondence on behalf of RC for signature and making follow-up when required; โ€ข Use of automated office management systems for effective functioning of the RC Office. 2. Ensures provision of effective communications support to the RC and RCO focusing on achievement of the following results: โ€ข Maintenance of the filing system ensuring safekeeping of confidential materials, use of automated filing system and SharePoint; โ€ข Coordination of the information among UN agencies and others as instructed, and dissemination of corporate and interoffice communications to staff as required; โ€ข In collaboration with the RC and Head of RCO, identification of complex or sensitive subjects, and contacts, for special treatment as well as priority issues that need to be brought to the supervisor's and other team member's attention; โ€ข Facilitation of information sharing between the UNCT and the RCO; โ€ข Collection of inputs from team members and relevant UN personnel and provision of quality assurance of briefing materials for appointments, meetings, missions, and other engagements. Review of appropriate format and style, in accordance with standard practices; โ€ข Management of the information flow of the RCO, reviewing, prioritizing, and routing all incoming calls and correspondence, ensuring timely follow up action and responses; โ€ข Preparation of informal translations from/into English and Ukrainian; โ€ข Establishment and maintainance of efficient tracking systems and procedures for correspondence and documents; monitoring of work progress, follow-ups on deadlines, commitments made, actions taken; and coordinattion of collection and submission of inputs; โ€ข Communication and follow-up with RC's driver in a timely manner ensuring daily transportation and travel arrangements for RC and UN RCO staff; โ€ข Support to planning and organization of events as required; โ€ข Daily cooperation and coordination with personal assistants of the UN Heads of Agencies / UNCT; โ€ข Coordination with various service units and team members both at Headquarters and in the field. 3. In the absence of the RCO Administrative Assistant, the Executive Associate backstops the Administrative Assistant role as required by the RC and the Head of RCO, providing support to the operational activities of the UN RCO (including, for instance, HR management, procurement, budget and finance, general administration). EducationCompletion of High school diploma or equivalent is required. Relevant first-level university degree may be accepted in lieu of two years of required experience. Work ExperienceA minimum of seven (7) years of progressively responsible experience in administrative services, finance, accounting, audit, human resources or related area is required. The minimum years of relevant experience is reduced by two (2) years for candidates who possess a first level University degree. Experience in front office management is desirable. Experience in providing senior executive / administrative and management support within the UN system, international organizations, or embassies is desirable One(1) year or more of experience in data analytics or related area is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English and Ukranian is required. Knowledge of another official United Nations language is an advantage.
