    Organizational Setting and Reporting Relationship

    The position of Executive Assistant is assigned to the Office of the Treasurer within the Treasury Department (TD). You will be based at our Headquarters in Manila.

    You will report to the Treasurer and/or designated international staff.

    Your Role

    As an Executive Assistant, you will provide full administrative assistance of a responsible and confidential nature for the Treasurer and Deputy Treasurer. You will coordinate inter-departmental administrative activities and will provide administrative and operational support services to the department. You will also coordinate knowledge sharing activities, database management, and other administrative tasks.

    You will:

    Oral Communication and Client Coordination

  • Manage reception services, including screening calls, handling inquiries, and coordinating with visitors

Assess and prioritize requests, ensuring prompt referral to the appropriate staff

Remind the Head of Department (HoD) and Deputy of deadlines and other important matters

Contribute to organization of TD events and knowledge sharing projects

HoD and Deputy's Calendar and Travel Management

Manage the HoD's and Deputy's calendars, and ensure that appropriate arrangements are made for meetings, appointments, and other events

Organize supervisors' schedules, appointments, meetings, travel and accommodation as specified by the supervisor and following ADB mission travel procedures

Coordinate with external counterparts and mission organizers in preparing the mission schedule, ensuring all necessary arrangements are in place

Initiate or help prepare the HoD's back-to-office report

Mail and Written Communication

Consolidate inputs and prepare reports such as the weekly TD Management Meeting minutes and notes for Office of the Vice-President (Finance and Risk Management) for the regular Management Committee Meetings

Prepare and process correspondence following ADB standards

Draft responses to routine and complex inquiries

Record, distribute, and track incoming/outgoing mail and confidential documents to ensure timely action

Compile and prepare briefing reports for the HoD

Front Office Administration

Act as front office budget coordinator

Maintain electronic (SharePoint) and physical filing systems

Ensure office supplies stocked, and front office network equipment is in good working condition

Monitor leave of absences, attendance, overtime use, and staff mission

Ensure that division attendance coordinators update the TD mission/leave file

Coordination and Management

Coordinate with the Office of the Secretary on Annual Meeting tasks; communicate with financial institutions in reference to their participation in the ADB Annual Meeting

Communicate supervisor's instructions and monitors follow-up actions

Provide guidance to junior staff on procedures, guidelines, and formats

Others

Act as backup to Treasury Officer and perform other tasks as may be assigned and reflected in your workplan

Qualifications

You will need:

Bachelor's degree in Finance, Accounting, Business Administration, or related fields

At least 5 years' work experience in treasury or financial institutions

Written and verbal proficiency in English

Proficient in MS Office 365 (Outlook, Word, Excel, and PowerPoint, SharePoint), and familiarity in the functional set-up of standard corporate videoconferencing tools (MS Teams, Zoom)

Experience working independently and collaborating with individuals from different cultural/national backgrounds

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
