The ETT โ Team Assistant/Transaction Specialist in Perรบ Country office plays a crucial role in ensuring the smooth execution of financial transactions and administrative processes. This position is integral to supporting the operational efficiency and financial integrity of the office. The Transaction Specialist reports directly to the Operations Manager, who provides strategic oversight and guidance. However, for day-to-day assignments and responsibilities, the Transaction Specialist works under the supervision of the Finance Analyst, who ensures that daily tasks align with the office's internal controls framework.ย
Financial Tasks
โข Processes accurately and promptly all accounting transactions in the institutional platform.
โข Files relevant documents and invoices systematically and according to retention guidelines.
โข Interacts with clients both inside and outside the Bank, e.g., staff, consultants, vendors, etc., to effect timely payments and resolve accounting related issues.
โข Liaise with central payment processing/transaction processing units (Chennai/Global Payments Provider-GPP) to resolve routine issues.
Internal Controls
โข Strictly follows Bank policies to maintain and supports internal controls.
โข Periodically runs monitoring reports.
โข Assists in providing requested documentation during quality assurance reviews, internal and external audits.
Procurement & HR
โข Creates Purchase Orders and appointments for the office in the institutional platforms.
โข Assist vendors and potential consultants in the registration process in the institutional platforms site and update bank details in the corresponding platform.
โข Holds corporate credit card to execute and reconcile office purchases in compliance with corporate guidelines.
โข Records asset data in SAP and consolidates review findings for management evaluation.
Advisory Role
โข Assists in developing local guidelines and procedures.
โข Advises and communicates staff to ensure application of Institutional and Corporate rules, guidelines and policies in the Country Office.
Other Administrative Duties
โข Handles VAT refund process.
โข Other administrative duties.
Selection Criteria
โข High school diploma plus 3 years of experience, or equivalent combination of education and experience.
โข Excellent oral and written command of English and Spanish.
โข Ability to work with financial data, interpret policies and procedures, understand the controls framework.
โข Demonstrated proficiency in the use of financial/accounting systems (preferably SAP).
โข Excellent time management and organizational skills.
โข Ability to anticipate needs and take initiative.
โข High level of integrity, mature judgment, excellent interpersonal and communication skills.
โข Ability to exercise good judgment in handling confidential and sensitive information.
โข Takes ownership and accountability to meet deadlines and achieve agreed-upon results.
