Program Overview
WRI Indonesia is an independent research organization that turns big ideas into action at the nexus of environment, economic opportunity, and human well-being. At WRI Indonesia, we aim to bring innovations in research and business approaches in order to create the enabling conditions for Indonesia to achieve robust economic growth while respecting environmental and social values. Within our Food-Land-Water (FLW) Program, we envision critical ecosystems such as forests and peatland across Indonesia to be governed fairly and sustainably. We believe sustainable land use management is key for Indonesia to meet its climate goal, in line with keeping the global climate target below the 1.5 degree Celcius warming threshold, while providing sustainable livelihoods to forest-dependent communities and conserve biodiversity in the landscape. We intend to achieve this through safeguarding the remaining forest and peatland from deforestation, degradation, and fragmentation; maintaining forests and peatland quality through sound stewardship; and restoring degraded ecosystem to improve its productivity, conservation value, and ecosystem services.
To achieve Indonesiaโs climate goal while at the same time improving the livelihood of the communities and protecting biodiversity, we work together with partners to mainstream nature-based solutions (NbS) as an approach to address global climate challenge. We aim to achieve this through research, policy advocacy, and creation of a community of practice to develop new financing model for forest conservation, advocate regulatory framework that are conducive for NbS approach, and development of multi-stakeholder platform to amplify and accelerate NbS approach in Indonesia and Southeast Asia region.
Data Lab Indonesia
The Data Lab Unit aims to establish a leading hub for open-source data, code, and visualizations, fostering data democratization and collaboration among NGOs and development partners. By addressing critical challenges such as unsustainable data platform management strategies, technical inconsistencies, and high employee turnover, the unit will ensure the long-term sustainability and impact of WRI Indonesia's platforms. This initiative transforms grant-dependent outputs into powerful tools for driving positive change in climate resilience, social equity, and nature conservation across Indonesia and Southeast Asia. Aligning with WRI's strategy, the Data Lab Unit promotes systemic, data-driven solutions, transitioning WRI's approach from isolated project delivery to broader systems change while enhancing institutional capabilities and addressing financial sustainability gaps to create scalable, impactful initiatives.
Job Highlight
Knowledge Management System Specialist will support the team in capturing, organizing, and disseminating essential WRI Indonesia data and knowledge. Key responsibilities include developing and maintaining comprehensive documentation, such as Standard Operating Procedures (SOPs), guidebooks, and knowledge repositories, to ensure that best practices are followed and employees have access to accurate and up-to-date information.
Reporting to the Nature-based Solution Manager, the Knowledge Management System Specialist will work closely with various project teams to understand their data and knowledge needs, standardize processes and support continuous improvement initiatives. In collaboration with System Infrastructure and DevOps Lead, Product Engineering Lead, and Senior Lead for Data Engineering and Innovation, this position will deliver cutting-edge solutions that align with WRI Indonesiaโs mission.
The Knowledge Management System Specialist will be based in Jakarta with office-flex working arrangment and travel requirement as needed. In support of WRI's DEI commitment, you are responsible for actively participating in these collaborative efforts by integrating equity into your work, our workplace, and the organizational culture.
What You Will Do
Data and Knowledge Management (80%)
- Develop and execute a comprehensive data and knowledge management strategy aligned with organizational goals and objectives
- Develop and implement knowledge management strategies that align with organizational goals and effectively support programmatic needs across clusters/sub-clusters
- Designs and implements knowledge tools and documentation processes that are intuitive, user-friendly, and responsive to the needs of different user groups
- Lead initiatives to capture, curate, and disseminate organizational data, knowledge and best practices
- Actively identifies, curates, and organizes institutional knowledge and data, ensuring information is accurate, accessible, and supports informed decision-making
- Collaborate with cross-functional teams/programmes to identify knowledge gaps and develop targeted solutions to address them
- Promotes a culture of continuous learning and improvement by facilitating knowledge-sharing sessions and encouraging documentation of lessons learned
- Measure and analyse the effectiveness of data and knowledge management initiatives, providing insights for continuous improvement
- Produces clear, well-structured, and professionally formatted documentation that is consistent with WRI Indonesiaโs standards and style
- Maintains a strong understanding of data governance principles and applies appropriate measures to ensure confidentiality and compliance with internal protocols
Program Management (20%)
- Collaborate with other Data Lab workstreams to ensure the integration of knowledge management tools with existing systems and workflows.
- Enhance collaboration across departments through the implementation of tools and processes that support knowledge sharing.
- Stay up-to-date with emerging technologies and industry best practices, integrating relevant advancements into data and knowledge management strategy.
- Champion a culture of knowledge continuity by promoting the importance of documentation, organizational learning, and knowledge retention strategies.
What You Will Need
- Bachelorโs Degree in Knowledge Management, Information Systems, or a related field. A Masterโs degree is preferred
- At least 4 year of experience in knowledge management, information management, or related fields
- At least 2 years of experience in managing data governance throughout the KM/DG lifecycle
- Demonstrated expertise in developing and implementing knowledge management strategies
- Certification such as ICCP Certified Data Professional or Certified Information Management Professional (CIMP) in Data Governance. Alternative combinations of work-related experience and education may be considered on a case-by-case basis
- Strong understanding of knowledge management tools and technologies (e.g., SharePoint, Confluence, etc.)
- Demonstrated ability to work collaboratively across departments
- Business proficiency in verbal and written communication, with the ability to convey complex concepts clearly
- Eagerness to learn, to help, to share knowledge;
- Ability and willingness to travel when needed
- Legally able to work in Indonesia.

Deliverables
- Deliver a finalized and validated Data & Knowledge Management (DKM) strategy document for WRI Indonesia, including roadmap, implementation plan, and alignment with Data Lab Indonesia Workstreams objectives
- Produce and publish a minimum of 5 key documentation products (e.g., SOPs, guidebooks, onboarding manuals) covering processes from selected programs or tools
- Set up and launch at least one centralized digital repository or workspace (e.g., SharePoint, Confluence) that stores core organizational knowledge, ensuring accessibility for all relevant teams within WRI Indonesia
- Facilitate at least 2 training sessions, brownbag or workshops on knowledge management tools, documentation standards, or repository use, with participant feedback recorded
- Conduct feedback collection (survey or short interviews) from at least 10 WRI Indonesia staff from 4 different sub-clusters, and identify 3 areas of improvement to be implemented or planned for 2026
Terms of Payment
Daily rate-based consultant with a maximum of 18 (eighteen) working days per month.
