Every 4 years, the World Conservation Congress brings together several thousand participants for a 7-day event, including 3.5 day for IUCN Membersโ Assembly, preceded by a 3.5 days Forum with several hundred events open to the general public. The Congress also includes an exhibit hall partially open to the general public, allowing exhibitors to showcase their research, innovations and other work to the broadest Congress audience. At previous Congresses, the exhibition was between 10-11โ000m2, featuring up to 150 small, medium and large stands. In addition, several central open presentation areas, or โcentral stagesโ accommodating up to 150 people are included in the Exhibition area.
The next edition of the IUCN World Conservation Congress will take place in Abu Dhabi from 9-15 October 2025. JOB DESCRIPTION The Congress Logistics Associate will report to the Convenings and Sustainability Officer and be part of the Global Convenings and Events Unit at IUCN Headquarters. They will be responsible for supporting the delivery of part of the overall logistical arrangements before, during and after the IUCN World Conservation Congress 2025.
The duties involved in providing logistical arrangements for the Congress include:
1. Before the Congress:
โข Support the Convenings and Sustainability Officer with the implementation of the Congress Sustainability Policy in order to have the ISO 20120 Certification for the Congress.
โข Assist the Convenings and Sustainability Officer in the liaison with the Congress suppliers for the identification, management and implementation of logistical aspects including but not limited to:
- Infrastructure and equipment
- Venue Layout
โข Coordinate the selection process, the communication and the logistical aspects of the Congress art exhibits.
โข Coordinate the logistical arrangements (room set-up, catering, equipment orders) and guideline liaising with Forum Manager, Membersโ Assembly Manager and other IUCN staff to ensure that their requirements are being properly met.
โข Support the Convenings and Sustainability Officer in the coordination of IUCN staff travel arrangement to Congress and liaise as necessary with IUCN staff worldwide, the Congress Travel Agency and the Accommodation agency.
โข Coordinate with the Convenings and Sustainability Officer for keeping IUCN staff, members and partners informed of logistical arrangements for Congress.
โข Support the design and testing of all congress management systems.
โข Ensure that data in these systems is kept up to date.
โข Supporting in the regular update of the Congress website content.
โข Assist the Convenings and Sustainability Officer on a daily basis and ensure smooth delivery of Logistical tasks by the sub-contractors within its area of responsibilities.
โข Support in administrative tasks as necessary (inbox management, emails, translation, proofreading, etc.)
โข Participate in the meetings with the Global Convenings and Events Unit and other units, as necessary.
โข Participate in site visits as necessary.
2. During the congress
โข Attend Congress, support the implementation and timely delivery at the Congress site of all logistical aspects.
โข Assist the Convenings and Sustainability Officer and the Global Convenings and Events Unit in general, as necessary.
3. After the congress
โข Review invoices, if any, for projects under direct supervision.
โข Support preparation of statistical analysis of Congress.
โข Write up procedures for all projects handled including lessons learnt and recommendations for the future.
โข Support data clean-up for all Congress systems and produce summary reports.
โข Assist the Convenings and Sustainability Officer as required.
Note: The above TORs contain the main responsibilities and duties of this position. However, in an ever-evolving organisation such as IUCN staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them, but which are not part of their regular TORs. Where any task becomes a regular part of staff memberโs responsibilities, the TORs should be changed in consultation between the manager, the staff member, and the HR Unit. Any one of the three may initiate the consultation. REQUIREMENTS โข University degree or commercial section studies.
โข Experience in event management preferred.
โข Fluency in English. French, Spanish and or Arabic are desirable.
โข Microsoft Office (especially Excel), experience with event-specific software/databases (e.g. Hotel / Event / reservation) desirable.
โข Excellent attention to detail.
โข Excellent interpersonal, motivating and organising skills.
โข Capacity to react quickly and flexibility in the face of sudden changes, multi-tasking.
โข Ability to work under pressure.
โข Service-oriented attitude.
โข Ability to travel and to work flexible hours if required (particularly as the Congress dates approach).

SALARY The gross annual salary for this position is between CHF 73'019 and CHF 91'274, subject to deductions for social security contributions and second-pillar pension, and before tax. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
