Position: Communication and Documentation Specialist
The Communication and Documentation Specialist will work across technical portfolios including HIV, maternal, newborn, and child health (MNCH), nutrition, and global health security to ensure the project is well organized, documented, and communicated to internal and external stakeholders. The Specialist will be responsible for overseeing the projectโs branding and marking, development of visual media and written materials, and the coordination of project reporting efforts.
KEY RESPONSIBILITIES
- Ensure project products align with EpiC, other projectsโ, fundersโ, and FHI 360โs branding and marking requirements including the accurate and collaborative use of logos.
- Liaise with government stakeholders at the national and subnational level, local implementing partners (IPs), as well as FHI 360 technical focal points in the Nepal office, in the Asia Region, and at headquarters.
- Work with partners to ensure they understand branding and marking requirements.
- Research, write, and edit a broad range of communications including project reports, blogs, meeting notes and summaries, presentations, etc.
- Support the promotion of communication outreach events alongside technical staff and IPs.
- Oversee the preparation and execution of events for high-level Government of Nepal and funders including United States Government (USG) stakeholders in Kathmandu and in project sites.
- Coordinate conferences and workshops.
- Ensure that project documents are available and well-organized on SharePoint.
- Document project events via photos, videos, meeting notes, etc.
- Identify and source vendors to support communication-related activities.
- Liaise with FHI 360 headquarters and regional experts to ensure timely high-quality inputs.
- Provide support to IPs in the thorough completion of all reports and documentation requirements.
- Contribute to the preparation of program reports, monthly updates, other necessary technical and programmatic documents and documentation of successes, lessons learned, and good practice.
- Analyze program data to identify potential areas for quality and program improvement.
- Perform other relevant duties assigned by supervisor, technical directors, and the Country Representative.
REQUIREMENTS
- Masterโs degree in communications, public health, medicine, social science, or behavioral science with three to five years of experience or bachelorโs degree with five years of experience in the above-mentioned field. Ability to initiate and implement activities with minimal supervision and manage high volume workflows with multiple tasks across several programmatic areas.
- Experience supporting communications in public health programming, ideally in HIV, MNCH, nutrition, and/or GHS.
- Experience establishing and maintaining positive working relationships and partnerships with consortium partners and major stakeholders.
- Familiarity with USG branding and marking requirements is an advantage.
- Proactive in managing multiple tasks, working in the virtual work environment, and flexible, adaptive and open to managing time as needed for and demanded by the project and for working with different teams in different time zones as needed.
- Experience running events for high-level stakeholders and large-scale workshops and conferences.
- Ability to create professional documents using Microsoft Office tools that are well-written, visually interesting, and aligned with style and formatting guidelines.
- Excellent interpersonal, organizational, communication, coordination and collaboration, team building and management, and problem-solving skills.
- Experience using Microsoft Office communication tools (Teams, Outlook, SharePoint, etc.) for knowledge management activities.
- Excellent interpersonal, organizational, communication, team building and management, and problem-solving skills.
- Ability to travel 20-30% outside Kathmandu.
- Excellent oral and written English and Nepali including documentation skills.
