Position Title: Business Support Assistant-Supply Chain L4
Reporting Line: Head of Supply Chain
Type of Contract: Service Contract
Duration of Assignment: 12 Months
Duty Station: Country Office
Maintain accurate records on all Supply Chain incidents that need urgent attention including Food Incidents reported by monitors, CFM Calls and field reports and escalate for timely redress.
Track all Supply Chain invoices and provide weekly status update on each invoice. Follow-up with Finance unit on delayed invoices and provide feedback accordingly to the vendor (retailers & cooperatives)
Perform Retailer and Cooperatives SCOPE verification & Settlement processes and ensure invoices are timely generated and shared with the cooperatives and retailers. Follow up with cooperatives and retailers on timely review and return of proforma invoices for immediate processing.
Along with Requesting Units perform inspection of goods & services to ensure all procurement requests meet specification as requested by the spending units.
Process vendors invoice in WINGS and Invoice Tracking System (ITS). Launch tenders in SmartSourcing and analyze quotes for the award of goods and services to successful vendor.
Serve as immediate backup to Logistics and Procurement Associates to ensure business continuity in their absence.
Respond to all queries from cooperatives and retailers and escalate where appropriate, in order to provide a timely and accurate service to clients.
Support processing and managing routine administrative and financial tasks in of the Supply Chain Unit, to contribute to the effective and timely management of resources.
Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function and serve as notetaker for all Supply Chain Meetings ensuring all minutes are recorded and appropriately field.
Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
Education:
Completion of secondary school education.
Experience:
Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skillis
Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
Knowledge of work routines and methods in order to complete processes under minimal supervision.
Uses tact and courtesy to give and receive information to a wide range of individuals.
Ability to identify data discrepancies and rectify problems requiring attention.
Ability to offer guidance or basic on-the job training to more junior staff.
Language:
Fluency (level C) in English..
