    Organizational Setting and Reporting Relationship

    The position of Associate Secretariat Officer is assigned in the Office of the Secretary (SEC). SEC is responsible for providing strategic and operational support to the ADB, the Board of Governors, and the Board of Directors. You will be based at our headquarters in Manila, Philippines.

    You will report to the designated Technical International Staff.

    Your Role

    As an Associate Secretariat Officer, you will be responsible for designing and implementing Board programs, serving as the overall coordinator for Board committees and working groups, and coordinating activities in the SEC front office, such as preparing briefing notes for the President.

    You will:

  • Contribute to the planning, organization, and implementation of programs for the Board, such as the Board Orientation Program and the Board and Management Retreat; and coordinate the preparation of summaries of discussion of these programs.
Explore opportunities to improve Board programs and efficiency initiatives. Review the administrative practices of Board committees and working groups as needed, develop standard procedures for Committee meetings, and ensure that these procedures are followed. Act as the overall coordinator for the six Board committees. Coordinate the preparation of briefing notes for the President by consolidating departmental inputs and preparing the initial draft. Collect and consolidate inputs for the Secretary's Management Committee meetings and related meetings. Prepare the initial draft of the Board' Coffee Session minutes. Maintain a tracking system to capture issues raised at the Board meetings and follow up on necessary actions. Analyze data from a variety of sources to prepare background papers, presentation materials, and reports. Support the coordination and organization of meetings and events related to the corporate secretariats of international financial institutions (IFIs). Support the sharing of good practices among the IFIs. Conduct a periodic review of work processes and introduce efficiency measures. Manage knowledge activities and provide periodic reports. Provide support on operational matters and other projects and initiatives assigned by the Secretary or Assistant Secretary. Provide support to the management of events, including the organization of the Annual Meeting of the Board of Governors.

Qualifications

You will need:

Bachelor's degree in business administration, communications, or related fields. At least 8 years of relevant professional experience. Work collaboratively within teams as a constructive team member and coordinate across teams. Demonstrated client orientation; sensitized to working in a diverse and multicultural environment. A high degree of integrity in handling confidential matters. Additional Information

This is a fixed-term appointment for an initial fixed period of 3 years. At the end of the initial period, this appointment may, at the option of ADB, be extended once for up to 2 years, converted to a regular appointment, or ended on its expiration date. This decision will be made in the overall interest of ADB that: (a) it will require Staff's particular blend of skills and experience in the foreseeable future; and (b) Staff's performance is satisfactory and they are suitable for further employment.
