Org. Setting and ReportingThe Associate Protocol Officer assists with protocol and relevant administrative matters in liaising with host government officials and the diplomatic community. ResponsibilitiesWithin delegated authority, the Associate Protocol Officer will be responsible for the following duties: โ€ข Assists in arranging meetings between Mission officials and local de facto authorities; โ€ข Facilitates and coordinates with relevant Mission officials regarding all the Missionโ€™s administrative matters as they relate to host country obligations under the agreement with the United Nations; โ€ข Follows up with host government authorities on issues raised in official correspondence, including privileges and immunities and in coordination with the Legal Affairs Section, to facilitate resolution. โ€ข Works in collaboration with other team members in term of liaison between the Front Office and the host government counterpart; diplomatic community regarding appointments and meetings; โ€ข Maintains communication with the de facto State Protocol during official events and ceremonies attended by the SRSG or/and the DSRSGs; โ€ข Helps in the organization of the SRSGโ€™s, DSRSGโ€™s and other mission Senior staff members trips, including coordination of VIP lounge arrangements, immigration formalities, visa processes and logistical requirements for high-level visits and events. โ€ข Identifies and visit in advance venues of activities, meetings, location to be visited and making appropriate advance arrangements; โ€ข Takes active action to make seat arrangements for ceremonies/meetings/conferences hosted by the SRSG or/and Deputies Headquarter as required; โ€ข Maintains and provides to those concerned an up-to-date mailing list and contact information pertaining to the composition of the de facto authorities and the Diplomatic Missions accredited to the host Country (Principal and Deputies); regional organizations, as well as UN agencies, Programmes and Funds; โ€ข Cooperates with Mission Support, in particular with Transport, Aviation and MovCon Sections; โ€ข Familiarizes staff members with local laws when interacting with local de facto authorities; โ€ข Helps the Mission in educating initiatives regarding local customs, values, and traffic rules; โ€ข Draft NVs and letters to the diplomatic community and host government to be cleared by the Chief of Staff; โ€ข Work in collaboration with Aviation to obtain flight clearances from the de facto government; โ€ข Work in collaboration with the O/COS in order to draft missionโ€™s events and related; โ€ข Coordinates with the local authorities, in case of medical emergency and provides assistance to the Medical Unit as required; Performs other duties as assigned. Work ExperienceA minimum of two years progressively responsible experience in a similar or related position is required. Experience in protocol matters, coordinating and implementing meetings and events, including liaison with national authorities and other stakeholders is required. Experience in working with the United Nations, other international organizations, or NGOs is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this job opening, English is required. Dari and Pashto are required.
