    Organizational Setting and Reporting Relationship

    The position of Associate Asset Management Officer is assigned to the Institutional Services Division (CSIS) within the Corporate Services Department (CSD). You will be based at our Headquarters in Manila, Philippines.

    You will report to the Unit Head, Logistics Management Unit and Managing Officer in Asset Management Services.

    Your Role

    As an Associate Asset Management Officer, you will manage efficient inventory control implementation, database systems maintenance and administration, service provider contract management and provide administrative support to other asset management functions.

    You will:

  • Manage the physical inventory count (PIC) for ADB assets and supplies with service providers and end-users; implement inventory controls and procedures.
Analyze PIC reconciliation results and reports; submit final reports. Contribute to the maintenance of Oracle Fixed Asset Registry and eProcurement by ensuring updates of databases based on PIC results; review approved adjustment memos and update eProc inventory. Process monthly backcharging reports for office supplies requisitions under Technical Assistance, Field Office, and other project charge accounts; submit memos; process payments for TA requisitions. Review and validate gate passes in eServe facility for ADB assets. Manage the database of all PIC related activities. Monitor the compliance with contract provisions on annual physical inventory count by service provider. Participate in audit reviews and implementation of action plans, conduct review, and submit attestation reviews and business process maps; implement ISO initiatives on waste and energy reduction, and other departmental projects. Contribute to strategic review and planning for Asset Management Services on fixed assets and inventory count activities through the review and improvement of ADB policies, procedures, and guidelines; identification of efficiency measures or streamlining opportunities. Perform other duties that may be assigned and reflected in the incumbent's work plan.

Qualifications

You will need:

Bachelor's degree in business administration, accounting, engineering or related fields and preferably with advanced training. At least 5 years of relevant professional experience. Leadership experience with supervisory skills. In-depth knowledge of policies in asset management, inventory control and reconciliation Working knowledge of ISO 14001 and OHSAS 18001 standards and best practices in asset management including storeroom operations, receiving, and disposal. Working knowledge of an international institution's IT systems and computer-based applications. Excellent command of written and verbal communication skills in English.
