Manage revolving fund; evaluate monthly bank reconciliation reports, cash flow statements, and statistical report on sales. Ensure availability of corporate souvenirs and executive tokens; initiate requisitions within acceptable time frame and approved budget; ensure merchandise follow ADB visual identity system. Approve office supplies and equipment requisitions in eProcurement; ensure issuance and delivery of approved requisitions by service providers. Manage the maintenance of eProc item code database including set-up, deactivation and revision of catalog items; process monthly closing and opening of Oracle General Ledger for inventory items. Manage the evaluation of gifts received by staff filed in eServe; facilitate registration of gifts assessed as artifacts in the Oracle Fixed Asset Registry; conduct auction of gifts. Help monitor the compliance with contract provisions on inventory and storeroom services and supply of Corporate Services souvenirs by service providers. Participate in audit reviews and implementation of action plans, conduct review, and submit attestation reviews and business process maps; implement ISO initiatives on waste and energy reduction, and other departmental projects. Contribute to strategic review and planning for Asset Management Services on corporate souvenirs, executive tokens, and maintenance of database functions through the review and improvement of ADB policies, procedures, and guidelines; identification of efficiency measures or streamlining opportunities. Perform other duties as may be assigned and reflected in the incumbentโ€™s work plan.

Qualifications

You will need:

Bachelorโ€™s degree in business administration, accounting, engineering or related fields, preferably with advanced training. At least 8 years of relevant professional experience. Experience with inventory and asset management, audit or related fields. Leadership experience with supervisory skills. In-depth knowledge of policies and procedures in asset management including storeroom operations, procurement, corporate souvenirs and executive tokens. Working knowledge of ISO 14001 and OHSAS 18001 standards and best practices in asset management including storeroom operations, receiving and disposal. Working knowledge of an international institutionโ€™s IT systems and computer-based applications. Excellent command of written and verbal communication skills in English.
