ย  Context

The establishment of a UN Common Premises for United Nations organizations is an important component of the UNโ€™s Reform Programme. The objective is to build closer ties among United Nations staff and promote a more unified presence at the country level, where possible and where it economically makes good business sense.

In this context the UN Common premises (UN CP) in Dhaka, was established and it comprises, at present, the following UN programmes and specialized agencies, departments & offices and entities: UNRCO, WFP, UN Women, UNDSS, UNAIDS, UNIDO, UNFPA, UNESCO, UNOPS, UNIC, UNHCR and IOM.ย 

This position is funded through the UN CP budget and is intended to provide key administrative and operational support to all participating UN agencies. Under the guidance and direct supervision of the Supply Chain Officer (UN Common Premises) and the overall supervision of the IOM Resource Management Officer, the incumbent will support IOM and the broader UN team in the coordination and delivery of services necessary for the smooth functioning of the UN common premises.

III. Responsibilities and Accountabilities

  1. Administrative Coordination and Support
  2. Coordinate and process a large volume of confidential correspondence, applying appropriate tracking, prioritization, accuracy, and distribution procedures.
Provide general guidance to UN Common Premises staff and visitors on operational and security-related procedures, in line with established standards. Support the organization of meetings related to UN Common Premises activities, including preparation of agendas, invitations, and documentation. Maintain updated tracking systems for official correspondence and documents, adhering to UN standards. Compile and summarize monthly utility bills for each UN agency and submit consolidated reports to IOM Finance Unit for processing. Draft and process online purchase and payment requests related to goods and services procured under theย UN Common Premises framework. Support office functions to meet changing demands by addressing routine operational needs and assisting with the implementation of common services. Reception and Information Management Coordinate front-desk services for the UN Common Premises, including handling telephone communications and responding to general inquiries in a professional and courteous manner. Facilitate visitor access and support meeting arrangements by confirming appointments, providing visitor passes, guiding guests to designated rooms, and following established security protocols; assist with VIP visits when required. Liaise with UN agency focal points to support room bookings and coordinate the use of shared meeting facilities; maintain an accurate reservation and usage tracking system. Receive, direct, and track incoming and outgoingย emails, courier packages, faxes,ย and official communications; maintain relevant records. Operate the telephone switchboard, conduct weekly line tests and follow-up on maintenance to support consistent functionality. Maintain and updateย UN Common Premises telephone list, directories, and contact databases regularly.ย  Coordinate front desk coverage, mail handling, and reception services. Respond to incoming calls and requests in a timely manner, directing inquiries appropriately and taking clear messages when necessary.ย  Perform other duties as needed. Education Bachelorโ€™s degree in business administration or related field with three years of relevant professional experience; or, High school diploma with five years of relevant working experience.ย  Accredited Universities are those listed in the UNESCO World Higher Education Database. ย  Experience Previous work experience in reception, front-desk operations, or administrative support, ideally within international or multicultural environments. Ability to interact with a diverse range of people, including staff, senior officials, and external visitors. Experience in managing correspondence, scheduling meetings, and handling office communications (emails, phone calls, etc.). Experience in working in environments where confidentiality, security, and adherence to protocols are critical.ย  Familiarity with generally accepted policy and procedures. Skills

Ability to prioritize tasks and manage multiple responsibilities efficiently. Strong scheduling, record-keeping, and attention to detail for handling documents and deadlines.

Communication Skills

Excellent verbal and written communication to interact professionally with colleagues, clients, and visitors. Drafting clear and concise correspondence, reports, and other documents.

Technical Proficiency

Competency in using office software (e.g., MS Office Suite: Word, Excel, PowerPoint, Outlook). Familiarity with office equipment and document management systems. Languages English and Bengali IOMโ€™s official languages are English, French and Spanish.
